Responsibilities:
 Acknowledging to the client receipt of appointment & instructions for vessel’s arrival.
 Arranging with various Port Authorities for suitable berths for vessels
 Commence necessary ordering/purchasing of services required for the ships arrival.
 Visit ship’s on arrival, obtaining arrival times, necessary paperwork to clear vessel inwards at customs & update various parties on vessels arrival into port & advise expected duration at the port
 With offshore vessels keeping close contact with the Master, Shore Terminal, Port Authorities & client on all events & prospects.
 For Tanker’s & Dry Cargo vessels, continuously staying updated with vessels & obtain all necessary documents from the vessels before sailing i.e Bill of ladings, Notice of readiness, signed statement of facts, pumping logs, Ullage reports, Notice of protest & dry tank certificates.
 Be quayside when required during vessel’s operations for offshore vessels when loading & discharging equipment.
 Before vessels departures arrange customs outwards clearance, liaise with the Port Authority in obtaining best suitable sailing time for the vessel. Visit vessel prior to departure to check all cargo has been loaded/discharged as per specification, official outwards clearance documents are on board, all goods & services provided have been satisfactory.
 Do post-quay inspection & advise client if any equipment remains quayside & arrange if necessary for equipment to be stored or returned to client/suppliers. Once vessel has departed send out 3 day estimated costs for while the vessel was in port. After 21 one days send out final cost (chase suppliers if all costs not received) get costs approved from client, close the file & send to accounts for final DA’s to be sent out.
