REGIONAL HR COORDINATOR - COMPLIANCE, NORWEGIAN REFUGEE COUNCIL
HR Systems and Compliance
• Support in the development and implementation of standard filing and referencing systems, which ensures that complete documentation exists for all HR and recruitment processes.
• Assist in monitoring compliance in the implementation of NRC’s policies, procedures and controls for the storage and recording of HR and Recruitment information through regular spot checks.
• Support the role out of the Document Management System and develop systems for ongoing maintenance.
• Act as focal point and champion for Office 365, the Filing Tree and HR Groups, providing support, guidance and training.
• Support in developing standardized approaches for the Filing Tree across the region, liaising with CO focal points as appropriate.
• Provide support in ensuring compliance with the General Data Protection Regulations in the storage and processing of HR information.
• Support in developing procedures and templates for information management within HR systems.
• Work with the RHHR and Compliance Unit to provide support and follow up on identified areas for improvement, non-compliance and the implementation of the action plans.
• Contribute to the development of SOP’s, audits and self-checks to improve and guide on due diligence in HR and recruitment processes.
• Support on developing systems for the collection and reporting of data for HR reporting and metrics. Provide information for tracking purposes and regional ‘dashboards’.
• Act as key focal point for MERO in the procurement and implementation of a HRMS, working with CO’s and HO to collect and disseminate feedback.
HR and Training
• Contribute to the development and delivery of technical trainings within the HR team, specifically recruitment tools and competency based interview skills, and support on NRC Way II as a secondary facilitator.
• Provide surge support to MERO recruitment and CO’s where capacity allows.
Recruitment, Norwegian Refugee Council
1. Advise Regional Director and Country Directors on personnel planning and manage recruitment processes for senior national and international staff
2. Advise on HR synergies across region and country programmes, e.g. recruitments, job rotations, gap fillings, internal secondments
3. Train and mentor HR staff in the region on NRC’s HR policies, strategies and systems
4. Contribute the discussion on HR initiatives related to the regional strategy and Country programme specific strategies
5. Contribute to implementation of global HR initiatives from Head Office
6. Provide quarterly HR analysis and statistics for the Regional Head of Recruitment.
7. Share best practises on operative HR issues with other HR staff in NRC.
8. Contribute to the strategy process for HR Global and take part reference groups for new HR initiatives or thematic issues established by HR Global
Reviewing recruitment requests and job descriptions and liaise with the recruiting managers across the region
on required changes/ amendments for the requested position.
• Advertising positions, longlisting, administer testes, booking interviews, filing on the system (webcruiter and
Dropbox).
• Leading interviews and assessments for all national positions in Middle East Regional Office and for national
positions on a certain level.
• Supporting in make reference checks.
• Preparing and sending job offers.
• Preparing and sending contracts.
• Support in collecting the onboarding documents and share them with HQ.
• Establishing and updating recruitment tracking system.
Training:
• National trainer for the induction package for NRC national staff in the ME region.
• Coordination and facilitation of induction for senior staff (NRC WAY2).
• Establishing administration system for the inductions, and HR seminars.
Personnel:
• Process monthly payroll salary.
• Keep personnel files up to date and according to internal policies and local labor law
• Process monthly social security.
• Keep updated databases for national and international contracts, and contract extensions.
• Acting OIC when needed.
• Act and support upon resignation letters and employees exits.
1- Coordination and Supervision: Coordinate, manage and monitor the ongoing training process in the organization.
2- Best Practices: Improve processes and policies in support of organizational goals. Implement organizational policies and procedures.
3- Communication: Facilitate coordination and communication internally and externally.
4- Marketing and Customer Service: customer support. Support marketing activities.
5- Planning: planning for future training courses, materials, instructors and other related issues. Also preparing necessary proposals and outlines.
6- E-Marketing: creating face book page, improving and editing website content in English and in Arabic. www.itijo.net
7- International Relations: winning an international academic accreditation for the institute from an American organization (International Accreditation Organization IAO). Also winning the agency of a certification registrar body in the U.K, in addition to signing cooperation contracts with different training organizations in Libya, Egypt, and Iraq.
8- Improvement of marketing tools: Editing the company’s profile and training plan for the year of 2013
1. Reception: • Answer general phone inquiries using a professional and courteous manner • Direct phone inquiries to the appropriate staff members • Reply to general information requests with the accurate information • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
2. Office administration: • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents • Sort incoming mail, faxes, and courier deliveries for distribution • Prepare and send outgoing faxes, mail, and courier parcels • Forward incoming general e-mails to the appropriate staff member • Purchase, receive and store the office supplies ensuring that basic supplies are always available • Code and file material according to the established procedures • Update and ensure the accuracy of the organization's databases • Back-up electronic files using proper procedures • Provide administrative support to management and other staff • Make travel, meeting and other arrangements for staff • Follow up with local partners
Community outreach: identifying potential community partners, building Strategic relationships, making field visits and communicating with local beneficiaries.
