▪ Implementing PGESCo Contracts Administration Procedure
▪ Assisting SCM in preparation of the Project Division of Responsibility
▪ Preparing agendas, chair Contractor(s) Pre-Construction meetings, record, and distribute minutes
▪ Establishing a Contract Filing System in accordance with PGESCO Contracts Administration Procedure
▪ Conducting Contractor(s) weekly progress meeting
▪ Processing all Contractor(s) correspondence and coordinating Owner’s review if required.
▪ Ensuring Contractor(s) Insurance and Bond requirements have been met prior to start of the Work
▪ Analyzing Contract(s) general terms and conditions to highlight areas of risk such as ambiguities, conflicts or deviations from the scope of work. As work proceeds, make recommendations to the Site Manager on the mitigation of these risks, closely monitor and support remedial actions and recommend appropriate negotiation points.
▪ Working with the other Project Site Team members to ensure that PGESCo or Owner related actions or inactions, which could result in constructive Contract changes, are identified and make recommendations for resolution.

▪ Maintain a working relationship with Construction, Engineering, Procurement, Legal and Risk Management to facilitate organizational interfaces
▪ Provide Site Construction Manager with reviews and analysis of the Contract financial data.
▪ Negotiate and prepare change notices/amendments and the associated data per the PGESCO Contracts Administration Procedure

▪ Ensuring that all commercial, contractual, and technical requirements have been met and reconciled before closing the Contract(s).
▪ Follow the PGESCo’s “Zero Incident” safety philosophy.
▪ Prepare Chang Notices, Back charges, amendments, adjustment orders, and processing resolution of claim submittals, in coordination with the project team.
▪ Check and process invoicing submittals to clients
▪ Prepare final contract close-out account statement, disclaimer, affidavits, and certificate of completion.
▪ Check certification of invoices and supporting documents from subcontractor, service provider, for payment release.
▪ Manage all contractual documents within the required standard( Change Notices, Construction Completion Certificate (CCC’s), taking over and acceptance (TOACs) and Punch list (PL)
▪ Prepare of contract performance Tracking, update, feedback and Reports, Records, Registers
▪ Assist the Contracts Manager in routine contract assignments
▪ Assist the Contracts Manger in liaising with suppliers
▪ Prepares contracts and contracts amendments for review by the Contracts Manager.
▪ Prepare contract copies for signature and disseminate them to all concerned staff, facilities as per the Contract manager’s instructions.
▪ Prepare letters and memos for signature and disseminate them as per the Site Manager instructions.
▪ Correspond and communicate with all concerned parties as necessary.
▪ Receive comments from contract parties and forward them to the Contracts Manager for review.
▪ Modify contract drafts as recommended by the Contracts Manager.
▪ Review drafted contracts for accuracy and completion prior to submitting for signature.
▪ Review all correspondence and documents for accuracy and completion prior to submitting for approval and signature.
▪ Update and maintain the database for all contracts and amendments on a daily basis.
