Assess the current condition of cleaning, MEP and other essential facilities and
equipments.
 Managing manpower in Housekeeping, Cleaning Services, Pest Control, Landscaping
and Waste Management.
 Managing day to day soft services on site, monitoring works and assigning resources
to execute works.
 Reviewing and approving monthly Invoices as per service providers’ contracts.
 Ensure day to day activities are executed Manage, operate and maintain facilities to
the highest standards and to carry out soft service related work for buildings and
their facilities activities by the use of outsourcing/contractors including the
management and evaluation of consultants and contractors.
 Develop facilities operation & maintenance plans by setting numeric goals and key
initiatives to achieve these goals based on current and expected performance within
specifications.
 Prepare and maintain a flexible daily, weekly, monthly and quarterly duty schedule
of all internal & external facility.
 Ensure that identified key areas of the premises receive priority as per the schedule.
 Liaise with Facilities Manager and review the routine schedules to make necessary
changes.
 Check on a daily basis that all areas of the premises are maintained to a satisfactory
level.
 Undertake any additional duties as directed by the Facilities Manager.
 Drafting of the RFP documents and Scope of Work.
 Coordination and communications with the contractors regarding the site surveys
and answering all related questions during the Tendering Process.
 Reviewing the contracts drafts and ensuring that it covered all the requirements
according to the scope of work of each service.
 Following up the contracts validity and coordinating with the Client for the renewal
process
 Coordinating with the contractors to provide Proposals and quotations
 Coordination with the contractors for the kicking off the services and mobilization
plan.
 Conducting Interviews for the contractors manpower candidates
 Checking and approving the contractual requirements of the Machineries,
Equipment's and Consumables as per the RFP requirements.
 Coordinating with the Client's Concerned Departments for the approval of the
materials and Manpower.
 Reviewing and updating the Standard Operating Procedures and MIS Formats
 Creating a library of all the Minutes of Meetings with the client and contractor
 Preparation of the PPMS for cleaning contractors and bird control contractor.
 Doing the required communications related to the site operations or contracts
managements.
 Preparation of the Cleaning Staff Distribution and deployment plan on the sites.
 Preparation of the PPMS for cleaning contractors and bird control contractor.
 Preparation and updating of the assignments instructions of the contractor staff and
ensuring that they are properly implementing it on site.
 Coordinating the Meetings with the client and Contractors and Maintaining the
Minutes of the meetings.
 Following up the implementation of the contractors assignments and PPMS and
managing all the related projects
 Submitting technical reports and recommendations for any of the challenges which
might face them in the operations
 Preparation of the annual budgets
 Preparation and submission of new proposals related to the improvement of the
services and contracts.
 Coordinating with the contractors and arranging the required meetings to provide
all the related event requirements (Manpower, Equipment etc.. .
 Conducting required Audit for the contractors documents, files and ensuring that all
are in place and as per the ISO standards and approved process of the Client.
 Ensuring that the contractor's staff are getting the required training and toolbox
talks as per the approved training plans.
