Administration
* Help ensure that the following details of operations staff are kept updated and accurate. Support the Admin Teams in
managing staff: time & attendance. ID cards, health cards and medicals, annual leave, tool box talks.
* Ensure staff records relating to disciplinary action and incident reports are collated and referenced.
* Ensure staff records relating to leave applications, absenteeism reports and resignations are updated accordingly.
* Assist in implementing and maintaining all required administrative procedures and policies in line with divisional
requirements.
* Highlight any issues and assist in rectifying them within a specified period liaising with management.
* Hold weekly meetings and interface regularly with specified Account/Operation Managers to update and highlight any
issues/progress.
* Support the management and control processes for all operational areas, e.g. the auditing of contract performance on site.
* Client Servicing: Hold monthly meeting with clients; Provide Adhoc services and quotation to the client for any operational
request; In charge of manpower deployment requested by clients
* In charge of ordering monthly consumables and staff uniforms and ensure that cost will not go beyond monthly budget.
* Ensure the Planned Preventative Maintenance (PPM) task are completed on time and provide compliance report to the
client.
* Support the Operation Manager in contract management and execution, tenders/quotation preparations, manpower
requirements.
* Responsible for purchase quotation request, transportation request, shifting notices for cleaning staff, closing good receive
notes, overtime approval form, allowance request form, arranging gate passes for suppliers and visitors.
* Provide support for any mobilisation project, releasing and staff promotion
* Support the implementation and maintenance of all procedures involving operational areas.
Operations
* Oversee the work carried out by location supervisors, senior supervisors, and cleaning staff ensuring that all client
requirements are being met
* Managing stock room and inventory, ensuring Material Safety Data Sheet (MSDS) and the Control of Substance Hazardous
to Health Regulations (COSHH) are displayed and accessible
* Meeting with internal and external clients related to urgent request, complaints, and payments
* Managing parking access cards and parking spaces to all senior managers and directors
Provide basic Health and Safety training to cleaning staff
* Conducting Tool Box Talks (TBT) and equipment and materials training
* Coordinating with HSE adviser for a risk assessment prior to cleaning activity
Heading facilities management of Dubai operation and reporting to the Director of Procurement and Facilities. Supervises
a team of receptionists, office assistants and cleaners.
* Responsible for general office maintenance. Schedule, plan, organize and manage staff responsible for maintenance, repair
and upkeep of office facilities and ensure that all office and warehouse equipment is properly accounted for and in safe
working condition.
* Responsible for sourcing and meeting suppliers, arranging quotes and negotiating prices and payment terms for office
equipment and supplies, refurbishments, etc. Point of contact for all suppliers, contractors and service providers.
* Maintain and schedule maintenance contracts and lease agreements.
* Space planning and management, including managing new fit-outs/refurbishments.
* Managing soft services (internal/external cleaning, waste management and pest control).
* Invoices/Account Management and cost control. Assist in raising Purchase Order using Cospoint and Cognos.
* Review and maintain all Health and Safety Risks Assessments. Ensure safety methods, practices and programs are
implemented and maintained.
* Inventory and stock management.
* Prepare maintenance reports, dashboards, and periodic facilities related updates.
Overseeing the restaurant operations, managing staff works schedule, screening and interviewing, hiring and training of staff, handling cash, stock inventory, and ensuring compliance with food health and safety and resolve customer complaints. Conducting regular inspection of the kitchen restaurant to determine whether proper standards of hygiene are maintained
Interacting and taking drink orders from the customers, making recommendations, checking stock inventory and order supplies, ensuring the compliance of food and drink health and safety, handling cash, credit, and debit card transactions, ensuring charges are accurate and returning correct change to patrons, balancing the cash register. Maintaining a clean work and dining area by removing trash, cleaning tables, and washing glasses, utensils, and equipment.
Developing new cocktail recipes.
