* Effectively support organizational functions of the Project EHS Manager in particular and EHS team as a whole to ensure smooth operation and implementation of project HSE strategy and plans.
* Collect data statistics from various departments, contractors and prepares projects’ EHS statistical reports and ensures timely submittal
* Issue/distribute project daily HSE incident reports, safety bulletins, SMS notifications and safety alerts to project management team, project staff and contractors.
* Performs EHS data analysis, graphs and presentations for pro-active awareness and follow-up
* Assist EHS team in following up incident investigation reports with various contractors and ensure close out report are verified by the relevant departments
* Expedite the review and approval of vendor documents including MSRA, project EHS manuals, MSDS, lifting plans, work permits.
*Assist in project procedure preparation, review and processing.
*Collect and prepare pre-audit material both internal and external.
*Schedule EHS meetings, special events and similar activities as directed by the EHS Manager
*Prepare presentations for crew meetings and management meetings; generates and distribute meeting minutes.
*Raise material request and oversee procurement of EHS materials i.e. PPE, ensures timely delivery, assist in distribution to project staff.
HSE Administrator - (Office-based)
*Co-ordinate and facilitate the Office HSE committee and generate minutes of meetings along with follow up action tracking and close out reports
*Facilitate and ensure end of month HSE statistical reports are received from projects to allow corporate reporting.
*Enter HSE data into the Global HSE Database and generate reports as requested.
*Assists in design and development of HSE promotional material, obtain quotes and ensure quality production and timely delivery of these materials
*Assist in the co-ordination and running of any HSE events, forums or functions as directed by the HSE Manager and management
*Maintain and update the HSE Training needs analysis as well as co ordinate training planning and logistical requirements.
*Respond to pre-qualifications questionnaires (HSE related) and prepares relevant documentations.
*Update and issue to document control new or revised HSE procedures as provided by the HSE Manager or Location management
*Coordinate and facilitate office fire wardens and first aiders meetings, ensure their qualifications are updated and follow up performance of monthly routine inspection.
HSE Administrator - (Site-based)
Project: Emirates Aluminium Smelter Complex Phase 1 - Joint Venture Project between SNC Lavalin International and
* Work closely with the HSE Manager, assist in daily meeting schedule, and prepare presentations and minutes of meeting.
*Prepare weekly and monthly progress reports, project weekly statistics, Crew Meeting and HSE-related presentation for Client, contractors and auditors.
*Establish an incident register for all incidents recordable for the project and update from time to time
*Assists in updating all EHS procedures and forms and issue it to Document Control
*Support Security Department in overseeing the preparation of badges for all project employees, contractors and visitors.
*Distribute HSE related communications i.e. Flash Reports, Investigation Reports, Memo, SMS notifications, Safety Bulletins, etc.
*Coordinate with suppliers in purchasing all EHS-related equipment and promotional materials.
*Coordinate with Training Department regarding training schedules, attendance and follow up training completion.
• Responsible for all administrative functions related to AIAC’s hygiene management systems.
• Receive and sort correspondences and initiates action as per the HSEQ Manager’s advice.
• Divert important issues to the concerned Department Heads in the absence of the HSEQ
• Manager.
• Facilitate all hygiene training related tasks.
• Deals with all matters related to staff medical certificates and health questionnaires.
• Coordinate and support daily design itineraries of the Managing Director, Account Executives and Designers for satisfactory job completion
• Write business correspondence, quotations & inquiries independently
• Respond promptly to tenders, commercial registrations and inquiries
• Maintain an organized library of Company Work Samples/Portfolio
• Maintain an updated client and supplier database
Assist and suport overall secretarial requirements and activies of the Editorial Department.
• Responsible in the day-to-day activities of the Conservation Education Program (CEP) of the organization
