Receiving, reviewing and analyzing procurement
requisition forms from project team members for
completeness and accuracy.
• Collaboration with the Project Officer verify that
appropriate funds are available for any purchase.
• Identify service providers and evaluate vendor’s
performance regarding quality, prices, and delivery of
goods and services in line with the organization’s best
interests and value for money.
• Coordinate with the receiving unit on goods/services to be
received and obtain satisfactory delivery notes.
• Initiate custom clearance of consignments, draft
exemption requests, liaise with local agent
• Follow-up on purchase orders’ status and keep the
Project Manager abreast of estimated time of delivery or
any changes that may affect or modify the pre-
determined delivery conditions; ensure all expected
merchandise is received according with Purchase Order
(PO) specifications, and that all goods are in good
condition.
• Monitor the full compliance of procurement activities with
Organization Procurement Manual as well assisting the
Project Manager in implementation of effective internal
control, proper functioning of a client oriented
procurement management system under the grant.
• Coordinate with clearing agents, ensuring information and
documentation on shipments’ arrival is shared in ample
time to minimize delays and the incurring of costly
demurrage charges.
• Coordinate with warehouse staff to ensure availability of
space for incoming shipments and ensure proper
commodity handling and management practices are
followed.
• Follow-up with the national programs for the regular
reporting of stock levels and share such information with
the Project Manager alerting him to any issues that may
need to be acted upon urgently to ensure the smooth
running of the project.
• Coordinating with the relevant mission departments such
security, programs and finance, arrange for the timely
Movement of goods to agreed delivery points as set out in
the approved distribution plan.
• Ensure that the hand-over documents of items procured
under the project to selected community implementing
organizations or national programs are well documented.
• Submit regular reports for a continuous overview of
supply chain operations including volumes, values,
incoming goods, warehouse stocks and distribution.
• Maintain proper filing of all procurement -related and
shipping documents.
• Ensure that an update asset register and electronic list is
maintained on a monthly basis.
• Ensure that all Organization assets, equipment and
premises are well maintained
• Ensure that the movement of Organization assets is
tracked and the necessary documentation is done when
an asset changes its status.
• Ensure that an up to date filing system for all assets
maintained.
• Recommend assets for disposal and ensure that the
necessary paper work is prepared.
