1. Maintaining and updating various logs for all incoming and outgoing records preparation like Correspondence, Materials, Vendors, Method Statement, NCR’s QSR’s CAR’s, Site Inspection Request & Material Inspection Request.
2. Retain and be able to retrieve all Correspondence, Reports, Drawings, Sketches, Instructions, Minutes of Meetings, Submittals, Requests-For-Information, Payment Requests, Variations, Tenders, Contracts and all project documents.
3. Ensure proper file codes are indicated on each document and that proper redundant or subject files are maintained.
4. Ensure that all controlled Quality documents related to the Project are maintained to the latest issue, and that these documents are made available at all locations where operations essential to the effective functioning of the Quality Management System are performed.
5. Reviews completeness of documentation and prepares document transmittals.
6. Carry out various functions related to document control, archive, document imaging and maintenance of databases/registers.
7. Performs document quality check in accordance to Company engineering document control procedures.
8. Monitor the project document control mailbox and efficiently file and distribute documents Internally and to Third Parties (external).
9. Assure quality of documents received from Third Parties so that Corporate standards for document quality are met.
10. Ensure the timely turn-around of documentation issued internally or received externally
11. Provide internal/external reports to ensure project deliverables meet project Schedule and prepares weekly project reports, as may be required.
12. Performs proper disposal of obsolete documents during project close out in accordance to project requirement.
13. Assist information systems group in the setting up of integrated service systems, by developing DCC routines and practices.
14. Ensure safety of databases and quality of output.
15. Establish an effective Centralized Document Control Centre.
16. Performs file back up to ensure proper electronic storage and archiving of electronic registers for all project documentation.
17. Lead the implementation, maintenance, and continuous improvement of the QMS as per company’s regulations.
