• Provides both clerical and administration works;
• In-charge to all the employees request, i.e. filling, follow ups and keeping up to date status;
* Managing Employees file and keeping updated;
• Processing, monitoring and keeping all the new and/or renewal of Residence Permit updated of each employee;
* Responsible to all the process of Business Visa and Hotel Reservation for all the new comer hired employee outside the country.
* Assisting all the new employee requirement i.e. working station, stationeries, company profile etc. to support the HR Coordinator.
• Encoding and sending final weekly report to keep all the request updated;
• Gathering, maintaining and keeping all the necessary documents and updated records of the individual employees file;
• Travel arrangement based on employees request, includes all the transportation, accommodation and other necessary special request;
• Responsible to all the enquiries, follow ups and providing relevant information by oral and/or written communication;
• Managing the office affairs, i.e. organizing files and keeping records intact for the future reference
• Responsible for all the confirmation of any room reservation, booking amendment and cancellation
• Preparation and encoding all the correct data of the guest to avoid errors, conflict or complain
• Providing pleasant phone manner and customer service skills
• Answering guest enquiries, providing rates and promotions via email or telephone communications
• Setting up schedules of Airport Pick up as per guest request
• Processing the Bank Approval for any due payments by the company or individual guest
• Preparing daily guest arrival to ensure the names are being listed in a correct date and to check the hotel position particularly for the arrival and departure of the day
• In-charge for the DTCM (Department of Tourism and Commerce Marketing) Reports; scanning, encoding and providing enough information that DTCM may required
• Responsible for providing legal secretary support to the Legal Department to ensure delivery of safe client care and services;
• To promote a legally compliant environment and performs legal secretarial work at senior executive level;
• Prepares and types legal and administrative correspondence and documents;
• Maintains legal files, communicate with clients, opposing counsel, courts agencies and the general public;
• In-depth knowledge of legal terminology, court rules, procedures and regulations;
• Calendaring, Travel Arrangements and Timekeeping System.
