• Reports functionally to General Manager and acts as secretary.
• Create and process new leases as well as lease renewals and additions, such as vehicle rentals, renewals of vehicle registrations and fire and protection insurance renewals.
• Reinforce management and other staff to ensure compliance with applicable state and local laws.
• Administer support to the main HR of the group company.
• Manage the resident and other office files while practicing company-wide file retention policies and update company personnel records and documentation
• Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off
• Prepare, manage and store paperwork for HR policies and procedures
• Organize and manage new employee orientation, on-boarding, and training programs
• Processed purchased requisition, purchase order and other purchasing documents.
• Sustaining the safeguarding documentation, metrics, training records, documents, client service accounts, and process confirmation
• Coordinate activities involved with procuring goods, and services such as critical components, equipment, parts and supplies with consideration to price and delivery.
• Resolve problems that are related to transportation and logistics systems
• Negotiate transport or logistics rates with suppliers and customers so as to improve the supply chain
• Analyze areas of corporate logistics so as to find out the most cost-effective means or method of transporting supplies
• Conform to specification requirements, budgets, and deadlines.
• Discuss defective or unacceptable goods or services with Quality Control personnel, vendors and others to determine source of trouble and take corrective action.
• Answering to the issues related to shipment, customer satisfaction, export and import concerns, and logistic planning
• Monitor the entire process of product movement
• Track shipments across different channels.
• Responsible for the entire accounting cycle, providing support on administrative tasks.
• Reports directly to the general manager and functionally to the group chief accountant and cooperates constructively with all companies and departments.
• Process all entries, including journal vouchers, payment and receipt vouchers, credit notes and debit notes
• Manage various accounting activities, not limited to closing general monthly expenses, handling all bank transfers, L/C follow ups and payments and manage accounts receivables and payable and reconciliations related to customers, banks, creditors, debtors and inter-companies accounts
• Take charge of current assets management and depreciation
• Handle monthly attendance and payroll
• Proactively follow-up on all logistical matters and manage administrative governmental-related matters
• Perform general secretarial duties (offers preparations, ordering supplies, travel arrangements, exhibitions preparations..)
• Liaise with auditors and banks
• Ensure timely renewal of all personnel and corporate files
• Improve and implement internal procedures
