•Works hand in hand with the Production Manager and Accountant.
• Reports directly to CEO.
• Answers, screens and directs inbound phone calls.
• Organizes and coordinates meetings, conferences, travel arrangements.
• Maintains schedules and calendars.
• Arranges and confirms appointments.
• Makes local and international inquiries.
• Composes every incoming and outgoing letter for the staff and company.
• Calculates the amount on received voucher.
• In-charge with most of the document fillings.
• Managing databases, prioritizing workloads, handling correspondence, and coordinating
mail-shots or similar publicity task.
• Prepares, operates, and update document control procedures in line with the company’s
document management system.
• Creates document control and credit facility folders for individual customers.
• Ensures that all document provided is as per client quality formatting requirements.
• Serves coffee, water, or tea to the CEO or any other important clients.
• Monitors the office stationeries, toiletries, and other necessities.
• Maintains a neat, tidy and pleasant appearance of the reception area.
Sales Assistant
• Prepares and sends Quotation, Tax Invoice, Local purchase order, delivery order, and
proforma invoice.
• Sends and follows up with the customer’s statement of account.
• Answers local and international inquiries.
• Arranging and closing business deals to some local traders.
• Makes product proposal.
• Specifies the technical database and test report of products.
• Prepares and revises the products’ cost sheet.
• Monitors the market prices.
• Monitors the company’s monthly stocks.
• Monitors customer’s outstanding.
• Monitors customer’s credit limit.
• Checks daily/Monthly sales report.
• Checks some balance sheets and ledgers.
• Fills out bank forms (e.g. letter of credit).
• Computes the company’s overall monthly expenses.
• Checks the monthly company budget for shipments and emergency purposes.
