Overview
• Receive and verify incoming documents, check the accuracy of the transmittal notice (document tittle, number, revision, compliance with the standard template) and record the information in the document register.
• Notify the engineering manager for the proper identification of the respective internal and external recipients for all incoming documentation make clear and legible copies and issue as required with the requisite transmittal notice.
• For all outgoing documents, attach review form, prepare transmittal duly signed and approved by the engineering manager and record transmittal notice information in the relevant document register like the approval status code, transmittal number etc. then copy furnish the concerned department in accordance.
• Ensure the document referencing system adheres to project filing index as per project quality plan.
• Track and update the status of all overdue and pending report like Document Transmittal Form (DTF), Method of Statement (MS), Material Approval Request (MAR), Request For Information (RFI), Shop Drawing (SD) Inspection and Test Request (ITR)
• Maintain a complete and comprehensive controlled copy of project document including drawings and details and all other necessary project document.
• Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.
• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
