Administer end to end on-boarding and off-boarding activities.
Maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides)
and updating internal databases.
Provide support & guidance to managers in effective employee relations to have a consistent understanding
& application of HR policies and programs.
Provide timely assistance to colleagues on request related to issuance of offer letters/certificates
and medical insurance.
Handling joining formalities.
Initiate safety inductions of newly joined employee.
Assist payroll department by providing relevant employee information (e.g. leaves of absence,
sick days and work schedules).
Liaising with PR team for visa for new staff.
Oversee and support issuance of bank loan applications, letters requested, and bank verification emails /
calls in a timely and accurate basis.
Accurately register employee details in SAPIENCE Human Resource Management System (HRMS).
Assigned as travel coordinator for employee’s air ticket and hotel bookings.
Process final settlement of terminated employee as per the UAE Labor law.
Communicating with external partners for external hire and manpower supply.
Prepare reports and presentations, communications, data summaries, name badge and other
documents/information.
Ensure to check and verify external hire time sheets & invoice prior to issuance of payment.
Prepare HR correspondence and certificates.
Records and issuance of employee’s RFID cards through BIOSTAR database.
Register employees at biometrics.
Keeping confidentiality of all documents
Centralized Control of Document System.
Maintain accurate file structure for all project Documentation.
Ensure all projects Documents, Correspondence, RFI’s, TQ’s, Drawing & Material Submittals are available
in hard copy and electronic copy (pdf).
Preparing the necessary documents for incoming and outgoing submittals.
Establish and maintain various filing records, submittals, contracts & personnel files.
Control issuance of documents reference numbers including maintaining of proper document registers for
projects.
Distribute documentation to the project team in a timely and accurate manner.
Ensure all project submittals are transmitted accordingly.
All incoming Documents, Drawings or other submittal are well distributed through e-mail and hard copy.
Monitoring of incoming and outgoing personnel.
Updating & preparing daily reports, manpower list, timesheet, invoices & equipment tracking log.
Being the first point of contact for employees on any HR related queries.
Preparing Personnel file upon Joining.
Provide timely response and support to employee’s inquiries regarding policies, benefits and other HR
related matters.
Completion of all Time & Attendance related inputs (i.e. Present/absent days, OT hours etc.) for processing
payroll of employees.
Prepare HR correspondence and certificates.
Manage separation process for employees
Support PR for Visa processing activities.
Handling labor accommodation, disciplinary action, salary issues, loan approval and updating.
Supervise & ensure all employees are enrolled into their respective Sponsorship & paid as per the WPS.
Applying Medical insurance cards on the same day of Emirates ID Forms are received.
Produce reports as required by management from time to time.
Preparing attendance, leave management and approvals, Annual leave ticket requisition.
Monitoring and Updating of Personnel Employee’s file (Visa, Emirates Id, Labor Card, Passport) Expiration
via Ministry of Labor Website.
Coordinate and update MOL Offer letters, visa transfers, and status change.
Updating & preparing daily reports, manpower list, timesheet, invoices & equipment tracking log.
Manage of Project Documentation
Develops, established & implements controlled & effective information system within the company, as well
as workable communication system with other entities in the project/company.
Distribute documentation to the project team in a timely and accurate manner.
Provide Technical support and assistance for the electronic document management system.
Implement company document control processes, procedures and specifications to ensure accurate records
of all projects official documentation generated by the company or its subcontractors.
Arrange the material technical submittals & drawing submittals for client submission.
Produce reports as required by management from time to time. Ensure all projects documents, drawings &
Correspondence, RFI’s & Material Submittals are available in hard copy and electronic copy (pdf).
Establish and maintain various filing records, Submittals, contracts & personnel files.
Control issuance of documents reference numbers including maintaining of proper document registers for
projects.
Registration, Labeling, distribution and archiving of documents, manual and electronic data.
Handling, monitoring and scheduling transportations of site workers from time to time as per shift
schedule.
Prepare HR correspondence and certificates.
Preparing and typing out the required forms of permits, material request, and vehicle registration.
Establish and maintain various filing records, contracts, trace pending items, personal employee files and
follow up as appropriate.
Develop and carry out an efficient documentation and filing.
