⦁ Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy.
⦁ Supervise members of the administrative staff, equally dividing responsibilities to improve performance.
⦁ Manage emails, letters, phone calls, and other forms of correspondence.
⦁ Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
⦁ Support operational activities by maintaining up-to-date records of staff whereabouts, attendance, and availability.
⦁ Handling intake, scanning, verification, and storing documents.
⦁ Filing and archiving relevant documentation.
⦁ Ensuring the secure destruction and disposal of sensitive documents.
⦁ Updating and maintaining document management systems and physical records.
⦁ Maintaining the security of confidential documents.
⦁ Assisting employees with accessing documents through our document management system.
⦁ Tracking the pending documents through weekly progress reports.
⦁ Ensuring outgoing documents are in the correct format, register, arrange for delivery, obtain proof of delivery, disseminate and file systematically.
⦁ Maintain and update document register including tracking of replies and identification of status.
⦁ Performs file backup to ensure proper storage and archiving of electronic registers.
⦁ Coordinate Monitor and controlling the movement, filing, and archiving of the project documents.
⦁ Ensure hard copy and electronic records files as required are maintained in good order to comply with QA requirements.
