Provide leadership in the Projects Division for all Document Control matters, which includes giving instructions and guidance to other divisions and departments in the company and to contractors and consultants etc. Ensure all appropriate document control systems and procedures are in place and maintained within accordance with industry best practice and in line with company policies and procedures. Provide administrative assistance as needed within the division. Recommend to the Director optimum systems, procedures, referencing systems, document numbering, archival systems and the like, as related to document control, for the purpose of ensuing control of all documents are carried out in the most effective manner and makes for easy retrieval from filing system and archives. Undertake various functions related to document control, document archiving, document imaging and maintenance of document register for all Design and Construction Projects. Registers all outgoing and incoming documents from internal in-house generated documents to consultant and contractor provided documents, etc. Controls issuance of document numbers, including maintenance of proper document registers for all design and construction projects. Maintains all project related document control databases. Ensures proper document classification, sorting, filing, proper archiving and effective retrieval. Reviews completeness of documentation and prepares document transmittals. Ensures the very latest drawings for all current projects are always kept updated on stick files. Performs document control quality checks on all documents within accordance with industry best practice and approved company policies and procedures. Performs file backup and ensures proper electronic storage and archiving. Keeps the division leaders informed of any issues regarding document control matters in a proactive and timely manner. Prepares letters and other correspondence to support the Director and Project Managers in the division as needed. Relieves the Executive Secretary during his vacation and attend Executives task.
