Manage electronic document management system as well as hard copy records.
Ensure all documentation is controlled in accordance with the company’s procedure for document
control.
Process, control and administer incoming and outgoing documents (correspondences, submittals,
transmittals, specifications, drawings, etc.).
Upload and distribute documents to relevant parties in accordance with the document distribution
matrix workflow.
Maintain and update logs to ensure accurate status of submissions
Prepare necessary data reports for various parties in a timely and accurate manner.
Follow up and expedite priority items with relevant managers, engineers, consultants and contractors.
Coordinate with consultants and contractors to send and receive various reports, drawings, submittals and
other outstanding issues.
Coordinate, supervise and implement every aspect of travel arrangement for staff, executives of MEDCO employees.
Communicate with different departments of MEDCO-NPP with regards to travel request for vacation leave and business trips through email and phone calls.
Provide hotel reservation for employees who travel on business trip and for incoming visitors and delegates to the project site.
Update the departure and arrival log for on signers and off signer’s crew and arrange airport drop-off and pick up.
Prepare LPO and review travel associated invoices as well as statements for accuracy.
Administrative Support Duties
Create, maintain and update hard and soft copy trip files for all travel, including review and preparation for annual audit.
Enter information provided by staff into the database and maintain travel data base.
Compute leave days for each staff base on its signed contract.
Liaised with the bank for opening salary bank accounts for newly hired employee.
Prepare all HR related correspondence.
Supervise business arrangement for all employees of Mitsubishi Electric Saudi Ltd.
Work hand in hand with HR department to determine a travel budget for vacation arrangement and
develop travel policies for the entire staff.
Made travel related reservations and issue tickets/travel voucher to all passengers, taking care
of all relevant airline/company’s rules and regulation have been complied with and that the travel
product delivered commensurate with company’s requirement and expectation.
Handling direct walk-in passengers, inquiries through telephone/email in accordance with the
standard operating procedure.
Prepare daily sales report of the tickets issued, refunds and cash flow to accounts department.

Attend to all travel related inquiries through telephone and email by corporate companies under Altayyar
Travel Group.
Work hand in hand with travel coordinators of each company in arranging vacation plans for its
employees by providing flight reservation and forwarding this through email indicating the price, time
limit and ticket restriction as per the airline rule.
Provide relevant advice with regards to the cheapest available fare on the desired destination and flight
having good connection and making sure passengers wants and needs are met in accordance with the
standard operating procedure of the company.
Attend to all travel related inquiries through telephone and email by corporate companies under Altayyar Travel Group.
