- Assist in planning university-wide outreach and civic engagement activities\programs.
- Manage the Global Classrooms LAU Model United Nations program and assist the Project Leader in all organizational aspects by recruiting new personnel, editing the training material, supervising the work of the GC- LAUMUN Secretariat of 110 LAU students. Similarly manage the LAU Model Arab League program and supervise 32 LAU secretariat members
- Propose new ideas to improve the event planning and implementation process,
- Manage administration and logistics in a busy special events environment,
- Assist with preparing budgets and provide periodic progress reports for events to the Executive Director of Outreach and Civic Engagement
- Anticipate project needs, discern work priorities, and meet deadlines with little supervision
- Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate decor
- Conduct research, make site visits, and find resources to help staff make decisions about event possibilities
- Create and revise room layouts for events,
- Serve as liaison with vendors on event-related matters (establish working relationships with various LAU constituencies including business, purchasing, public relations, MARCOM, Hospitality and DOS offices)
- Assist with managing on-site production and cleanup for events as necessary
- Coordinate nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
- Close out all events as required,
- Keep track of event finances including check requests, invoicing, and reporting,
- Coordinate appointments and visits to see space and scheduling of events on the calendar,
- Prepare and modify event contracts as requested
