I have started with Chevron as a Typist till I was promoted to admin assistant in 2012 . 2014 I was appointed as Admin Assistant for IF&S Manager.
I am handling all kinds of tasks related to secretarial role such as:-
1- Preparing monthly timesheet and reviewing access reports for 184 Employees.
2- Preparing internal memos to employees and Letters to Governmental Authorities, Ministry of Oil, KNPC & Contractors.
3- preparing monthly reports, statistics and assist in the department budget, objectives, Performance Evaluation.
4- Preparing for monthly department meeting, agenda preparation, presentation, external meetings coordinating, booking hotel & ticket thru the travel agent, transportation to & from the airport.
5- Responsible for Keeping a balanced stock of the stationary and commissary for our Department.
6- Managing all maintenance requests using JDE system & emails to other departments.
7- Managing all Purchase requests using ARIBA system
8- Managing all department invoices reviewing, coding & submitting through ARIBA system.
9- Creating data base for the gate passes system through IDTEL system, design and assist the Passes section in any technical issues.
10- Responsible for recruitment procedures, medical examination and all other details till their joining date.
11- Creating & Maintaining an updated history data base for all our employees. ( joining date/ position/PMP rate/certificates/nationality/Birth date/ GOSI No./Civil ID)
12- Contract coordinating for 3 Major manpower contracts involving 160 contract employee ( Firefighters / Security men).
13- I act as the Information Risk Management Coordinator for IF&S Dept.
14- Creating & maintaining a filing system hard & soft copies.
15- Continuous communication with another 15 departments in SAC, Fire & Security for the Joint Operations - JO using outlook emails, phone calls and annual gathering.
Handling all kinds of correspondances, document filing, maintaining stationary stock and reordering, receiving phone calls and guide them to the right person, preparing monthly timesheets & attendance reports monthly basis. Preparing the sub contractors payments and also working on the contractual specifications .
Responsible for the doubtful debts recovery, data base entry, cash & expenses reports
I was responsible for the tourists check in and check out, handles any guest complaint, facilitate their visit and support them, act as life guard team leader in drills.
responsible for all the correspondances between the captain and the head office.
Assisting in all monthly & yearly reports and the budget preparation, making the monthly inventory for the stock & cash
Dealing with all tourists from all nationalities, helping them by giving the requested information & directions plus participating in all kinds of drills & group leading.
Studied four continuous years without a stop and always having excellent grades in accounting, statistics, english and management.
