Coordinates and reports to the Operations Manager in performing management functions such as staffing, training and expanding business plans.
Acts as Assistant Operations Manager during her absence.
Document and prepare reports on management and informa`tion systems; presented the same to the manager.
Investigate and resolve customers issues and complaints regarding operational matters - handled all queries and client feedback in a professional manner.
Liaise with different counters and department to ensure all deliveries, replacements and car collection are made on time in line with the customers expectations.
Maintain a follow up system on the outstanding matters between the managers, head office and other division.
Supervise drivers under Operations Department to carry out their daily responsibilities in an effective manner.
Served as the face of the department, participating on panel meetings and ensure that the minutes of the meeting are sent on time.
Collaborates with the department heads on weekly posting for master reports.
Preparation of formats, presentation of all reports for daily collection, idle, overdue agreements.
Generating, opening and closing lease agreements.
Charging all Salik transactions of the customers and ensuring all pending Salik charges are cleared.
Ensure proper documentations for all lease and spot agreements.
Update proper information in the CMS (Car Management System).
Ensure all the cars in the counters are clean and in good condition before renting out to the customers.
Preparation of office documents, quotations, invoices and receipts.
Handle enquiries and resolving customer complaints.
Coordinate with the traffic department with regards to the customer requirements and queries.
Maintain a follow up system with the other departments.
Update all sale, disposed vehicles in the CMS (Car Management System
Receive, screen and transfer calls from designated telephone switchboard in a courteous and professional manner.
Ensures the reception area is presentable and report any issues directly to the supervisor.
Receive visitors and treat them with good communication and attitude skills and request office assistance to direct the visitors to the meeting rooms.
Ensures all calls are attended properly and being transferred to the corresponding staffs.
Handle customer complaints and taking note of important messages from customers.
Update attendance Master Roll on daily basis and ensure the supervisor is informed in case of staffs leave or absence.
Maintain visitor log/register.
Ensure the reception telephone extension is set to auto reply message at end of working hours.
Take over certain responsibilities of Administration Department such as assisting document control during staff leave or absences.
Responsible on receiving and sending couriers as well as checking of courier invoices on monthly basis.
Update staffs telephone extension list and circulate to all department heads on monthly basis
