• Receive Maintenance Requisitions for the University’s Facilities Maintenance Division through Phone, E-mails and Facsimile
• Identify if the requisition received has the correct work category like HVAC, BMS, Electrical, Fire, Plumbing, Masonry and the like and if no ticket has been generated yet then we open a new ticket Called “MR” Maintenance Requisition trough IBM Maximo Software.
• Ensure that all the information on the Maintenance Requisition Form is correct before we generate the ticket and dispatch them to the concerned team/person/contractor for issue rectification.
• Send the request initiator an e-mail informing them of the completion of their Maintenance Requisition then we close the ticket and mark it as completed.
• Admin and clerical jobs in the office like phone screening, proper document classification, sorting, filing and proper archiving.
• Update the Master File for all the Maintenance Requisitions Received on a daily basis.
• Encoding everything from receipts information to contractor notations on Microsoft Excel.
• Review the completeness of documentations and prepare document transmittal.
• Back up e-mails and soft copies of files to ensure proper storage and archiving of important office documents on a daily basis.
• Ensure that the office supplies are replenished when they are low like the stationary items and printer toners and order new stocks if necessary.
• Basic Troubleshooting on the PC units and VOIP phones and All-in-one printers
• Replacing network cables and power cables and mouse and other PC parts if necessary and every basic Hardware and Software PC configurations
• Replacing printer toners and removing basic paper jams and do basic troubleshooting if the printer is malfunctioning before contacting the vendor
• Making sure that the VOIP phones are configured and working properly at all times.
