Acting Executive Operations Coordinator
• Support the Director of Communication through coordination with department managers in collaboration of each projects assigned and serves as the management resource.
• Liaise with managers for consistency in all project-related communications to ensure committed deadlines are submitted to the director.
• Oversee/Monitor projects milestones and achievements reported by each department managers and arrange meeting with the director.
• Act as the sole focal point for receiving meeting requests with the Director from functional managers, internal and external stakeholders for acceptance or rejection and provide necessary support.
• Coordinate with other offices i.e., other Directorates, the President’s Office, QF Divisions, QF Entities and HHO for meeting schedules, collaterals, presentations and communicate any changes to relevant participants.
• Filter all incoming emails of the Director and respond in consultation with the Director as and when required. Ensure that any emails, updates, proposals relevant to other departments of the Directorate are forwarded to concerned department managers for necessary collaboration and feedback.
• In case of Director’s absence from office, keep the Director updated of all daily events and correspondence that requires attention and take instructions for further action.
• Implement and develop filing system for all records pertaining to the Director’s office in adherence to QF records management systems.
• Ensure that all confidential documents are maintained in order and necessary steps taken to maintain confidentiality.
