Responsible for day to day document Management workload. Planning, distribution, tracking & updating of administration flow of the projects.
Preparation, Submission, Implementation, Distribution & Controlling all aspects of correspondences (between Client, Main-Contractor & Sub-Contractor’s) with the help of a document Management System like CEMs, KM SHAREPOINT & Email.
Uploading all project related documents/drawings received from consultants & contractors and distributing to all concern teams for review, inputs and approval.
Coordinate all activities related to the Document Control Procedure including technical documents, drawings, correspondence, contracts & billing.
Worked closely with Head of the Project (PD & PM). Assist PD/PM for letter drafting.
Establishing the System and Procedure for Engineering Design Team.
Ensuring all correspondences, related to Project financial matters & contractual matters is forwarded to the Project Director/Project Manager & maintain logs.
Preparing Project Reports (Monthly Quality Report, Daily Site Diary). Draft letters, internal memos, and various correspondences, etc.
Maintaining the documents and drawings in the document control office is under safe custody without any damage or deterioration with easy traceability. ·
Understanding & implementing clerical methods and document procedures at Head Office and subsequent operations at different construction site offices.
Responsible for maintaining all administrative records for Project Site Office.
Liaising with other internal department (HR, Procurement, Operation, Logistic, Immigration, Tender & PMV) .
Liaising with Supplier/Sub-contractor related to payment & workmanship issue. Preparation & Checking of Sub-contractor invoice and certification of the same.
Responsible for maintenance and continual improvement of Document Control Management System as per ISO Standard.
Single point of contact and communicate project status to all the team members.
Reconciliation/Sox Audit of CRM Id’s of Rajasthan Circle on monthly basis. Development of new workflow in CRM for better and fast customer resolutions
Resolving all the errors related to applications (Like CRM, VDE, CRM on SMS) on daily basis.
Providing the requisite overall support for customer Service related activity at Vodafone Store, Vodafone Mini Store, and Additional Distributor, Main Distributor & Zonal level in the Region.
New CRM & Web CRM User ID creation / deletion/reset/group creation /group changes & allocation of various rights as per the user requirement & guideline.
Remedy Tool Maintains (All Issues of CRM, MPESA WALLET, ) & Troubleshoot encounters for CRM problem.
Providing Cordiant L1/L2 right’s to the CRM & Web CRM users for up selling the products & TMS (Token Management System) rights to the New launched VODAFONE STORE.
Updating of CRM Workflow & LOV (List of Value’s) in NCRM, DISHA CRM, MPESA CRM and MPESA WALLET.
Response to mails which are received from IT, Vodafone Stores and Branches for queries and problems resolution on daily basis.
Maintains office services by organizing office operations and procedures, preparing payroll.
Provides administrative support to ensure efficient operation of office.
