Overseeing HR Operations and Administration.

DUTIES AND RESPONSIBILITIES:
● Responsible in sending and collecting documents for newly hired staff
● Assist with visa applications, cancellation and transfer
● Scanning and uploading of Passports, new Labor Cards, Employment Cards, Emirates ID Cards, New Labour Contracts and New Residence Visa
● Distribution of employee cards such as EID, Employment Card, and Insurance Card
● Update employee details in the OASYS
● Responsible for keeping and releasing Passports for Annual Leave Vacation, Bank Opening/loan application and renewals purposes
● Distribution of employment contracts ie company and labor contracts.
● Processing enrolment and deletion of medical insurance cards
● Preparing and issuing all types of letters such as NOC, Salary Certificate, Employment Certificate
● Processing enrolment and deletion of medical insurance cards
● Prepare leave summary for resigned employees
● Shortlist CV’s and conducts screening interviews
● Filing all the necessary documents in the Employee file

Reception Duties:
● Receive calls and transferring calls to respective departments
● Collection of cheques and obtain signatories from the management
● Distribution of memos
● Organize and schedule meetings and appointments

● Participates in the preparation, consolidation and implementation, monitoring of the annual training budget.
● Liaises with training organizations locally for quotations of In-house training courses and prepares comparative cost analysis for management.
● Follows up with Sites Training Coordinators for all matters related to Training Plan, registration of participants in the courses, mission forms etc.
● Handles all routine correspondences, including memos, letters, e-mails, faxes for matters related to course schedules, nominations requests, registration of participants in the course, and prepares the proposal agreements/ letters.
● Participates in the preparation of the monthly, quarterly and annual training reports for management.
● Developed an online learning portal called CRAfT (Centralized Repository Automation for Training) promoting paperless transactions
● Facilitate New Employee On-boarding Orientation
● Design Training forms for process improvements
● Processing of training requests (in-house and public trainings)
● Organizing Soft Skills Trainings

Employee Engagement
● Organizing company-wide events such as: Valentines Concert, Company Outing, Anniversary Movie Screening, Trick or Treat, Christmas Party

● Negotiate with the third party provider for corporate events collaterals
● Conduct employee engagement surveys and analysis
● On-time release of HR Dashboard announcements (Internal Communication)
● Monitoring of departmental savings and expenses
Recruitment and Staffing
● Managing of full cycle recruitment from sourcing and posting
● Responsible for the administration and coordination of the recruitment selection process: screening of candidates, scheduling examinations and interviews, and providing feedback to candidates
● Developing recruitment database for monitoring of screened and pool applicants
● Maintain and update daily, weekly, monthly recruitment reports in excel.
● Participation in University and Career Fairs
● Keep up-to-date the 201 file and ensures confidentiality
