Responsible for Processing, Posting/Encoding of local and overseas PO’s to the system (ORACLE) from Government and Semi-government hospitals and institutions. Coordinates to concerned persons for packing the items/goods for delivery.
Make sure that the standard procedures (correct pricing based upon contracts) is strictly followed on posting and processing purchase orders.
Prepare delivery notes and invoices for supply.
Coordinates to the logistics section regarding shipments and pending overseas orders.
Coordinate with the customer regarding their pending orders ensure they are delivered on time.
Assist customer request regarding missing invoices for payment.
Correspond with the suppliers regarding drop shipments supply of the PO’s.
Process overseas PO’s for ex-local supply,
Provide necessary secretarial and office support to the LPO Manager on processing letters, faxing correspondents, and liaising with Suppliers and Customers.
Provide required support to other department with respect to, sending official correspondence on their behalf, providing collective information regarding sales and stocks status.
Maintain necessary documentation system for efficient and orderly storage and retrieval of documents/information. Maintain and update all necessary records, files and database concerning LPO’s.
Strictly follows-up to the customer of the unreturned signed copies of delivery notes and invoices.
Prepare credit notes based from the GRV’s.
Updating payments in the system (ORION SYSTEM) and LPO files
