Manage and maintain executives' schedules.
Prepare Employees’ Contract (renewals & revisions) upon Executive Director & SVP’s
instructions
Follow-up with the employees’ manager for appraisal
Prepare New hire contracts in coordination with Executive Director & SVP, follow-up and
negotiation with the candidates
Prepare presentations, Organization charts, graphs, lists & reports as and when required
Read and analyze incoming memos, submissions, and reports to determine their significance
and plan their distribution.
Make travel arrangements for executives.
File and retrieve corporate documents, records, and reports.

Maintain an inventory/borrowers log of all documents (manuals, drawings, reports).
Maintain project files including forwarding and retrieving correspondence upon request of the
project staff, as applicable.
Prepare internal, external correspondence, Monthly and Quarterly Reports.
Coordinate with site staff and resolve their problems.
Coordinate with HR department to resolve employee related issues.
Coordinate with Admin. department about Iqama renewals and authorization letters.
Document Management:
Managing confidential documentation system.
Managing personal filing system for the department employees managing the CTS
(Corresponding Tracking System) by giving the reference number to the documents.
Handle document tracking system, organizing archive rooms for drawings and documents.
Ensure the timely turn-around of documentation issued internally or received externally.
Log all documents using the Document Control System program specially design for the project
in MS Access.
Maintain a log of all copied and borrowed controlled documents (manuals, drawings and
reports) as per ISO procedures.
Coordinate documentation flow process, delivery and return of documents in a timely manner.
Coordinate and maintain DCC records of all requests for drawings, documents, tags,
datasheet, etc.
Control all incoming and outgoing documents. Ensure timely issuance & distribution of all the
drawings / documents with correct revisions to all parties as detailed in the distribution matrix
contained in project procedures.
