o o Job involves more coordination with Installation Manager, Supervisors, Technical crew, Installers, drivers, laborers and warehouses for a timely delivery & installation executions.
o Closely follow-up with the Installation Manager on the progress of the projects to update the daily installation report required by the Customer Care Division Manager for monitoring the daily activities in order to update the Furniture Division Manager & Sales Department accordingly.
o Ensure to obtain the acknowledged delivery notes from the Installation Manager upon completion of the jobs for updating the documentation.
o Upon receipt of the maintenance requests from the clients, arrange for the subsequent maintenance in coordination with the immediate boss and the Installation Manager for a timely solution.
o Arranging of relevant paper work involved in internal material transfers through Installation & Delivery requests, Sales orders, Goods travel vouchers (GTVs), Inventory Issuance forms (IIF) and keep chasing with the warehouse personnel(s) until the material reaches the requested locations.
o Put forward the problems of the technical crew by helping them in writing internal memos, requisitions, for problems generally related to their salaries, housing, transportations, residence permits, vacations, etc., and help them in interpreting their issues to the Customer Care Division Manager or HR & Admin. Manager. In simple words fill the communication gap between the requester and the Managers in resolving the issues.
o Submit the monthly report to the Furniture Division Manager through immediate boss. This report details on the projects executed during the month which further summarizes the completed & handed over projects, completed but not handed over projects, ongoing projects, pending projects due to delay in material arrival or non-readiness of the sites etc.
o Arranging the business trips of the superiors and technical crew including ticket arrangements, expense advances, hotels, car rentals, etc.
o Upon their return from business trips, arrange to get the subsequent approvals on their expense vouchers for final submittal to the Finance Department. Prior to submission ensure to record these expense vouchers in the project expense database.
o Provide complete secretarial support to the Customer Care Division Manager in correspondence, follow-ups, coordination, filing etc.
o Simultaneously provide complete secretarial and coordination support to the Contracts Management Division Manager.
o Preparing of Construction related Quotations, Purchase Orders, Invoices.
o Preparing of monthly report for Contracts Management Division by presenting the details of the monthly Prospects, Active Quotations, Orders in House, and Monthly Sales.
o Arranging of flight reservations, hotel bookings and expense advances for construction staff.
o Follow up with Accounts on payments related to the sub-contractors and suppliers.
