Main Tasks: - Carry out the field trips to the IDPs camps in the areas of responsibility.
- Collect and release the Red Cross messages to the separated parts of the families and enable the exchange of the family news.
- Register the dispatched and the collected Red Cross Messages through the program for tracking and follow up with the Central Tracing Agency in Khartoum.
- Prepare the internal memorandums to the sector heads and enable the exchange of the information concerning the whereabouts of the separated parts of the families and advice the steps for the family re-unification.

- Translate the necessary tracing documents to insure the understating and the steps taken.
- Carry out the oral translation during the official meetings with the interlocutors, beneficiaries, workshops and the dissemination sessions.

Administrative Assistant
Main tasks: - Keep and up to date all the project files.
- Follow up the absenteeism sick and annual leaves and report to
Admin Manager, the Project Manager on monthly, quarterly and the yearly basis.
- Assist the Admin HR officer and the project store keeper on management of the files.
- Prepare the project monthly and the stores balance reports.
- Responsible of the issuance, tracking and registration of the waybills and report the changes and the differences if there is any through the cross check of the General Declaration Forms.
- Prepare and up to date the inventory lists of the two projects and highlight the changes.
- Follow up with the vendors and confirm with the Finance the issuance and the receipt of the vendor's cheques.
- Keep all the procured items fully documented and clearly identified through out the individual files.
- Up to date the procurement statement files and up dates the Project manager, the Finance and the Admin Manager.
Fleet Management
- Keep the Project Fleet individual files updated and in good manner.
- Identify each vehicle expenses with copies of the PRF, COP and the cheques request forms.
- Prepare the monthly, the quarterly and the yearly expenses report and prepare the requests for the release of the new budget for the coming expected period of activity and obtain the necessary approvals.
- Prepare the fleet schedules for the preventive maintenance and identify the corrective maintenance.
- Track out the project fleet expenses and follow up with Finance the necessary steps for obtaining the new budgets.
- Prepare the weekly, the monthly and the yearly fuel consumption.

Main tasks: - Responsible for obtaining the necessary approvals for the arrivals and the departures of the Beech Craft Rd 901 base in Khartoum.
- Submit and obtain the necessary approvals for the monthly flight schedules and the passenger manifests.
- Responsible for submit, follow up and obtain the entry and exit visas, the driving licenses and the vaccination cards, the resident permits for the organization expats.
- Responsible for the process of arrivals and the departures on both the RED 901 and on the international flights including the VIP process.
- Assist the WSVCS Head of the unit for accommodation of the new arrivals in ICRC premises.
- Follow up with the Air Lines and the travel agencies the reservations and the booking for the mission expats.
