Generate purchase orders, Prepare weekly status report of international purchase orders, Daily monitoring of material request, Collate purchase orders signed and approved by purchasing manager, Send purchase orders thru faxed to the suppliers, Interact with the suppliers on a day to day basis (phone calls, Log purchase order already faxed for quick monitoring status (excel file), Track the status of any orders, payment and delivery (local & international), Prepare daily purchase order report, Other basic functions of standard office clerical operations including filing system and receptionist.

As marketing secretary, I do essential functions such as designing company marketing manual/brandbook, coordinating company profiles updates and distribution, preparing marketing reports, coordinator and member of company stand crew at exhibitions, monitoring of exhibitions and conferences in Doha, updating company competitors and consultant list and updating and monitoring of company’s competitors advert campaigns. I do also non-essential functions such as updating and coordinating company’s general email account list, preparing internal marketing memos, material requisition slips, etc., coordinator for company’s mailing activities (invitation, thank you letter, etc.), coordinator for company’s internal event (team building, outing, ceremony, etc.), IT coordinator for uploading and updating company’s website, screen and taking calls, schedule and organize meetings, take down notes/ minutes of the meeting, maintains hardcopy and electronic filing systems, attend meetings in the absence of the boss, handling concerns of the sales people and key user for the EPICOR-CRM system for marketing department.

As secretary, I receive and make telephone calls in appropriate manner, route of calls, manage incoming and outgoing mails, faxes and couriers, manage visitors and take care of guests, prepare and follow-up correspondence, schedule and coordinate meetings and appointments, perform file maintenance and photocopying, arrange travel booking and accommodation, and other ad-hoc duties when needed.

As Admin Officer, responsible for hiring of applicants, posting or advertise for positions needed, screen walk-in applicants, update 209 file or alpha list of all employees, make memos to those who commit offense and disseminate, monitor sick and vacation leave, absences and punctuality of employees and prepares memo for frequent latecomers, and prepare monthly payroll, organize periodic cleaning of office.
