Ensures the proper delivery of generated documents and creates an optimal cooperation between various internal and external parties. Manage and responsible in project documentation such as implementing, managing and updating of the document management system.
Ensures that all pertinent documents are properly prepared and approved before issuance. Control and monitor revisions of all generated documents and ensure that all pertinent issues are used. Maintenance and setting up of document management system.
Manage the flow of documentation within the organization. Maintain confidentiality around sensitive information and terms of agreement. Prepare ad-hoc reports on projects as needed.
Write letters and send them to appropriate bodies, and receive incoming mails.. Keep records of all information related to project for documentation, clarification and presentation to management.
Performs other functions that may be assigned
Prepares and issues correspondences/letters for the subcontractor. Review and ensure that all in-coming and out-going letters have been answered properly. Maintain electronic and hard copy filing system. Develop and maintain a filing system. Update and maintain office policies and procedures. Act as the point of contact for internal and external clients.
Assist the Project Control Manager in the assigned task. Prepares Progress Evaluation Report as per data gathered. Assist in the preparation of regularly scheduled reports.
Assist the Contracts Administrator in his responsibilities. Provide general administrative and clerical support. Manage calendar for Managing Director . Organize and schedule appointments. Plan meetings and take detailed minutes. Prepare and modify documents including correspondence, reports, drafts, memos and emails.
Performs other functions that may be assigned
Prepares and issues correspondences, letters, Subcontractors Memo, Inter-Office-Memo, and disseminates to all concerned parties. Review and ensure that all in-coming and out-going letters, and pertinent documents has been electronically & properly log on the correspondence control sheet. Develop and maintain a filing system. Update and maintain office policies and procedures.
Handles Documents Controlling for all incoming and outgoing letters. Organize and schedule appointments. Plan meetings and take detailed minutes Participates and minutes kick-off, progress, coordination and special meetings. Assist in the preparation of regularly scheduled reports.
Review & monitor all pending letters/issues. Performs closeout reports as recorded in the Log Sheet. Handles air ticket arrangement, visa and exit permits of employees. Arranging hotel bookings for visitors and key personnel of the company. Provide general support to visitors. Act as the point of contact for internal and external clients. Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.

Ensure Quality Management System processes are “established, implemented and maintained”.
•Report to “top management” on the QMS performance and where improvements are needed.
•ensure that everyone in the organisation is aware of customer requirements.
•Ensure that company third party accreditations are obtained and maintained (ISO 9001, AS 4801, ISO 14001).
•Ensure all company policies, procedures, and work instructions are documented in a clear, simple and concise manner.
•Assist in the preparation of tenders by providing management system related documents.
•Train all company personnel in the documented company policies.
•Identify relevant legislative requirements.
•Control and maintain the company audit and risk assessment schedule.
•Conduct safety, quality and environmental system compliance audits
•Ensure personnel have received appropriate training and are assessed as competent to perform tasks.
•Prepare and submit monthly management reports relating to company systems, compliance and incidents
•Maintain the company library of compliance resources including standards.

•Make travel arrangements for executives.
•Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.
•Compile, transcribe, and distribute minutes of meetings.
•Attend meetings in order to record minutes.
•Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping, in order to aid executives.

As Quality Management Representative (QMR)
Ensures that the requirements specified in the QMS Manual, PNS:196:2000 and ISO -9002, are implemented and maintained. Report on the performance of the Quality System to the management identifying quality improvement & opportunities shall be submitted to the management for action during management review. Coordinate with various internal departments or external bodies on matters relating to the Company’s Quality System. Shall report to the Chief Executive Officer (CEO) and/or the Director for Operations of the progress and status of the quality system.
As Documents and Data Controller (
Prepares and issues business correspondences and disseminates the same to intended parties after approval of the General Manager. Attend to foreign and local visitors of the General Manager. Handles extremely confidential files/matters. Issues inter-office-memo as instructed by the GM. Prepares venues and materials during meetings. Prepares weekly summary report of the Sales Department. Responsible for yearly forecast of every product line based on the information gathered from each department Performs canvassing of prices for the materials as required. Ensure execution of P.O. for all required materials .
