Personal Assistant of Managing Partner

Works closely with the Managing Partner to provide administrative support and to manage the Office by performing diverse and advanced secretarial and administrative duties. The nature of this position involves high level contacts and exposure to sensitive and confidential information necessitating considerable use of tact, diplomacy, discretion and judgement.


ESSENTIAL DUTIES & RESPONSIBILITIES:
• Manage the daily administrative functions of the office to keep the Manager informed and focused on priority issues
• Responsible for providing secretarial, administrative, clerical support services to ensure effective and efficient operations across the department.
• Minimize the impact of the Manager's absence by independently responding to requests directly, managing his upcoming schedule and interacting with other lawyers as required.
• Assist in the planning and preparation of meetings and telephone calls. Travel arrangement, schedules routine appointment. Analyze incoming memos, submissions, and report to determinate their significance and plan their distribution.
• Manage and maintain effective office procedures and efficient work flow.
• Handle a wide range of confidential information and screen requests for information and being sensitive to whom and in what form information can be released
• Follow up with Laywers to ensure agreed activities are completed on time.
• Devise and maintain office systems to efficiently deal with paper flow.
• Schedule the Managing Partner appointments, maintain his calendar and make alternative arrangements for cancelled or interrupted appointments.
• Supervise the work of other staff attached to the Managing Director's office.


• Record office expenditure and managing the Petty cash. Monitor Customer payments. Preparing Monthly Bank Transfer.
• Organize the office layout and maintain supplies of stationery and equipment.
