⦁ Receiving shipping instructions to start the export process.

⦁ Forwarding the shipping documents to broker for customs clearance process.
⦁ Sending pre-alert to destination counterpart.
⦁ Receiving pre-alert notifications of shipping instructions from origin countries to be expedited, cleared and delivered in Qatar.
⦁ Counter checking of the shipping documents for its eligibility for Customs Clearance in Qatar.
⦁ Applying for the needed approvals from government entities that require specific permits for specific cargos.
⦁ Creating & maintaining a physical file of the shipments for Customs Clearance and Invoicing purposes.
⦁ Constantly monitoring the movements of the shipments on transit and providing feedbacks to the consignee.
⦁ Sending Cargo Arrival Notices to the consignees once the cargo reached Qatar.
⦁ Acquiring documents from the Shipping Line in preparation for Customs Clearance formalities.
⦁ Coordinating with the consignee regarding shipment’s arrival, clearance process and delivery schedule.
⦁ Booking transportation for the delivery of the shipment from Hamad port to consignee’s warehouse.
⦁ Coordinating between the transporter and the consignee while the shipment is in transit from Hamad port to their warehouse.
⦁ Making sure that the shipments are delivered to the consignee.
⦁ Preparing and issuing consignee’s invoices.
⦁ Maintaining a digital record of current and delivered shipments for easy retrieval when and if needed.
⦁ Answers to customers’ questions and queries thru telephone and email.
⦁ Updating a personal daily report to ensure that no shipments are overlooked.

Overall Duties and Responsibilities
* Receiving email notifications of Purchase Orders (PO) from several purchasers.
* Following up of PO to the suppliers and making sure that the orders will be delivered on time.
* Coordinating with the Store Keeper with regards to the items that are needed to be replenished in
the store’s inventory.
* Coordinating with the supplier with regards to the items that are needed to be delivered for the
replenishment of the store’s inventory.
* Coordinating with the end user with regards to the status of their order.
* Constant coordination with the suppliers with regards to the status of the PO.
* Sending follow up emails to the suppliers and requesting to reply a confirmation of receipt of the
PO, duly stamped and signed by their respective company.
* Monitoring of the entire current and undelivered PO issued to the supplier.
* Maintaining a record of the entire issued PO the supplier including current and delivered PO.
* Preparing and submitting weekly and monthly reports.
* Receiving Delivery Notes (DN) and preparing Receive Vouchers (RV) and Issuance vouchers the
corresponding cost centers.
* Preparing and submitting supplier’s invoices with duly prepared RV, DN and PO copy to the
Accounts Department.
* Archiving the copies of the sent invoices to the Accounts Department.
* Preparing Requisition Orders and have it approved by the Procurement Manager.
* Encoding, modifying Parts Reference.
* Encoding, sending, converting Purchase Requisitions (PR) into PO and then sending it to the
suppliers.
* Coordinating with the delivery drivers with regards to delivery location, office timings and contact
persons.

Overall Duties and Responsibilities
* Receiving several email notifications that a cargo is ready for shipment from any parts of the world
to be shipped to Doha, Qatar.
* Reviewing, checking and making sure that all the shipping documents are in compliance with Qatar
General Authority of Customs.
* Maintaining a digital database and hard copies for easy storage, retrieval and access of all internal
and external correspondence and documents.
* Sending instructions to overseas counterparts and colleagues to go ahead with the collection of
cargos from the supplier’s warehouse to our warehouse for proper packing, stuffing. Making it sea-
worthy and safe while in transit.
* Receiving updates regarding booking details that includes vessel name, estimated time of
departures from the port of loading and estimated time of arrival to Hamad port.
* Sending regular updates to consignee regarding booking details.
* Requesting all types of government approvals such as port approval, environment protection
approval, Civil Defense approval, electronic and communication approval among others, when
necessary.
* Coordinating with shipping line regarding the status of the shipment, estimated time of arrival and
others.
* Collecting Delivery Orders upon shipment’s arrival in Hamad port.
* Arranging all documents needed for clearance process.
* Coordinating with the consignee regarding shipment’s arrival, clearance process and delivery
schedule.
* Booking transportation for the delivery of the shipment from Hamad port to consignee’s warehouse.
* Coordinating between transporter and the consignee while the shipment is in transit from Doha port
to their warehouse.
* Making sure that the shipment has been properly delivered to the consignee.
* Preparing and issuing customer’s invoices.
* Answers to customers’ questions and queries thru telephone and email.
* Preparing and submitting weekly report.
* Arranging, coordinating export shipments from Doha to any parts of the world
