Duties and Responsibilities:
Coordinate with new employees for all required documents, such as
passports, educational certificates, photos, etc, and coordinate with the
Governmental Affairs team for visa processing.
Update new joiners on a regular basis (sending Employee Information Sheet,
Code of Conduct, Handbook, etc.)
Respond to candidates’ inquiries
Arrange air travel booking reservations for new joiners
Maintain communication with Government Affairs to ensure adequate visa
processing requirements are met
Coordinate with Facilities Management for company provided
accommodation, and household items
Coordinate with the hiring department for the necessary work tools,
(computer, software access, phone, office furniture, business cards, etc.)

Secure mobile lines for new joiners (if applicable).
Greet the new Joiners upon arrival
Prepare cash advance (if necessary)
Open employee files and create employee records on the ERP system, hand
off to C&B team for verification
Prepare Announcements for email and intranet distribution
Coordinate with the Benefits team for insurance cards, bank accounts
Assist in the New Employee Orientation
Assist in communication and implementation of all HR policies and initiatives.
Assist in facilitating international business travel
Organizing Flight and Hotel booking reservations for Managers and key
personnel’s who will attend the Business forum from another country.
Arrange booking reservation and ticketing and leave settlements for
employees going for vacation.
Assist in facilities business travels.
Monitor the return of employees from vacation as scheduled and report to the
department head if there are any delays.
Sending Telex (Warning) for overseas calls for employees who failed to
resume their duty on time.
Check employee’s documents, such as passport and residence permits, for
expiry before every vacation and coordinate with the Immigration section if
renewal is needed.
Monitor time and attendance records including sick leave, absences,
tardiness etc.
Handling letters (Salary Certificate, Bank Loan and Visa Card) to the bank.
Handle CBQ Pay Cards and the transfer of salary of employees.
Preparing Final Settlement for resigned/terminated employees and to make
sure that everything has been cleared prior to repatriation.
Handling the QIC Cards for employees needed for their health insurance.
Prepare LPO’s for payment of air ticket to Travel agencies.
Maintain employment files and records as per company policy and legal
regulations.
