PRINCIPLE ACCOUNTABILITIES:
Providing the required support effectively and efficiently in managing the Executive office with responsibilities including: • Proficient reporting system
• Assigning outgoing responsibilities
• Administrating and coordinating both tasks and processes.

KEY RESPONSILITIES:
Office Management
Schedules meetings, prioritize activities and organized manager's schedule; screens phone calls and visitors; directs queries to the appropriate manager, staff or department when necessary; screens and
establishes priorities for action on incoming requests (written and verbal), paying particular attention it
issues operational sensitivity and urgency; document controlling, and establishes and maintains a filing
system for documents, correspondence, reports and other material on hard copy and electronically.
Documentation
Prepares correspondence, reports or other documents from rough drafts; edits of documents and correspondence - grammar, spelling, punctuation and general editing without changing the intent;
transcribes notes to produce a presentation; and prepares reports.
Collaboration
Collaborate with the other Manager when required; acts as a troubleshooter and facilitator on administrative issues.
Coordination
Manages and coordinates special activities and events; and coordinates domestic and international
travel arrangements.
Office Equipment
Operates office equipments including computers, telephone, fax, copy machine, and other office
equipment to perform variety of administrative and technical tasks as assigned.
