 Maintain seamless client service with all users and initiative to anticipate client expectations;
 Proposing suggestions to enhance department processes;
 Document modifications black lining/comparison of documents;
 Transcription of dictation tapes, various document conversions. Document updating/formatting;
 Scanning of documents to various formats;
 Provide training services and support to all secretarial staff on various software and word processing applications in conjunction with the Training Specialist as required;
 Provide back-up support to Help Desk when required.
 Ensure good working knowledge of all firm application software;
 Troubleshooting of documents;
 Document controller of all site project.
 Assisting Project Manager and Project Engineer for Daily, Weekly and Monthly Report.
 Making all updated reports and for site project.
 E-mail send and receive correspondence.
 Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

 Locate and attach appropriate files to incoming correspondence requiring replies.
 Make copies of correspondence and other printed material.
 Coordinate conferences and meetings.
 Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.
 Provide services to client, such as order placement and account information.

 Compiles and maintains control records regarding authorized release of drawings, and project documents to internal and external parties.

 Posts updates to computerized or manual control records, releases documents, and notifies affected parties. Maintains related files. Caries-out reproduction of documents.

 Receipt, checking, entry logging, copying, distribution and record maintenance of project drawings, technical reports, specifications, tender documents, contract documents, and other project information.

Keeping a thorough check of all site documents.

Checking all documents before it goes out of the office.

Checking the drawings, outgoing drawings and marking the revisions.

Filing as per Index list in a proper manner.

Ensuring the procedures of the document control.

Procurement and distribution of office stationery.

Assist Secretaries to implement the document control procedures.

Performs other responsibilities associated with this position as may be appropriate.
