o Supports the Human Resources Manager and acts in her stead during absences.
o Responsible for the overall functions of HR including training, policy administration, employee relations, compensation, benefits, worker's compensation, expatriate policies/procedures.
o Supervise the general activities of the HR Team
o Interfaces with Department Managers and resolves complex HR issues.
o Assist HR Manager to make improvements and implement required changes.
o Assist HR Manager in recruitment, training, and performance supervision.
o Interact and co-operate with all members of the organization.
o Manage Employee Relations
• Address employee conflicts and complete investigations.
• Working with management to administer employee discipline or corrective action when needed.
• Assess employee engagement and retention, and actively work to identify, analyze, and improve any problematic areas.
• Counseling staff on HR policies, practices, and procedures
• Administer employee request (Letters, salary certificate, pay slips and all HR related documents)
• Process of employee separation (resignation/termination)
• Performing exit formalities and repatriation process
• attending employee and labor concerns
o Payroll Management
• Provide payroll inputs such as attendance summary, leave summary, over time, deductions, and any kind of settlement (leave & final Settlement)
• Preparing of SIF files
• Uploading of Salary/Encashment/Settlements to Bank Portal
• Maintaining monthly employee provisions (Leave, Ticket, End of Service)
• Maintaining company master file/ HR Database
o Recruitment - Get directions from the Manager about the new positions, contribute actively in planning the recruitment cycle of such new requirements and generate offer letters to the selected candidates
o On boarding and Induction - Responsible for planning and ensuring systematic induction for all new employees of the; Ensure that induction plan is signed off and filed in the personal file of all employees.
o Attendance and Leave management - Track daily attendance, leave database, eligibility, availed of all system and maintain the records accordingly
o Salary Processing / Payroll - Provide payroll inputs such as attendance summary, leave summary, other deductions to payroll employee wise in specified format for processing payroll; Ensure that salary slips are distributed to all staff on time.
o Employee Separation - Ensure resignation/termination letters are received and signed by employees; Follow up for the exit clearance and ensure final settlement is done within standard agreed timeline.

Conducts new employee orientations
Administer HR-related documentation.
Ensure that appropriate information are explained and well informed based on their employment offer, such us medical insurance, air ticket, leaves and their visa/RP processing.
Administer the probation process ensuring Managers when employee evaluations need to take place.
Preparing and sending all Confirmation of Employments after evaluated by their respective Managers/Head of the Department.
Visa & Employee Legalities Processing
Preparing and collecting all required documents for the entire locally hired employee and endorsed to Immigration for further processing of changing their sponsorship.
Preparing and collecting all required documents for processing of Labor Cards for the entire employee under husband/father sponsorship.
Preparing and collecting all required documents for processing Secondment.
Tracking and monitoring of the applications endorsed to Immigration.
Tracking and Monitoring of employee with CID cases.
Calling the employees to sign their employment contracts until processing of the attestation from the Immigration.
Resident Permit/QID Renewal for all employee.
HR Monthly Report
Collates all data needed for the report and convert it to power point presentation.
Includes the following; Active Employees, New Hires, Separated Employees, End of Service Settlement, Leave Types, Exit Permits, Reimbursements, RP Renewals, Disciplinary Action, Amendment of Contracts and more…
Exit Interview - for all separated employees.
Preparing employee contracts and manuals
Conducting initial interviews for the applicants
Completing and updating of employee files
Creating and posting of Memos
Assist with staff’s booking and car rentals
Entertain phone calls in a professional matter at all times during working hours
Prepare LPOs for all HR and Admin related works (i.e. ticketing, hotel booking, car rental, housing, office supplies and stationary, etc.)
Arrange for all necessary office supplies at a reasonable cost
Keep track of office supplies and stock
Check daily time-sheet from Production, Warehouse and other departments as required.
Transfer and prepare time-sheet reports on weekly basis
Prepare monthly report of all issued work orders, invoices and etc
Organize correspondence
Filing
Schedule delivery of sales invoices to clients and ensure follow up of invoice delivery and return the copy of received invoice to accounts.
Collect all supplier related invoices at the reception and stamp them the day received. Obtain cheques from accounts on the delivery date for suppliers and obtain receipt from them
Ensure all public dealing is done at the reception counter only. No one is allowed to visit accounts department. If absolutely necessary, call the accounts staff to the reception
Ensure cheque payment receipt and supplier invoices are timely delivered back to accounts for records on daily basis
Assist employees as office coordinator
Coordinate courier services
Meet, greet and guide visitors
Responsible for providing trainings to local residents with the ending view equipping them with the right knowledge and appropriate skills to prepare them for employment
Facilitating community employment initiatives
Providing career counseling to local residents
Identifying and fostering employment opportunities
Administering and monitoring community employment programs
Teach and Train English to local residents as a project of the municipality for future call center agents
