- Supervise and lead a team of logistics professionals, providing guidance, training, and performance feedback.
- Conduct mid and yearly performance dialogues and evaluations for the administration and logistics team, analyze data and generate reports to track performance and identify areas for improvement
- Coach and train new joiners and ensure complete knowledge transfer of policies, procedures, and systems in place.
- Distribute and balance daily/weekly assignments and tasks to the team and ensure the ultimate utilization of team capacity while securing a balanced workload and smooth operations.
- Ensure that the company is compliant with the Saudi labour office requirements in terms of quotas, laws and policies.
- Manage the end-to-end hiring and employee onboarding process starting from obtaining the initial approvals until successfully joining the company.
- Planning and organizing logistics operations to ensure efficient and timely onboarding of new employees to the company
- Develop, maintain and implement policies and procedures related to administration and logistics.
- Finalize vendors’ deals and contracts including medical insurance, supplies, rentals, etc.
- Follow up on employees’ assignments and projects and ensure that the relevant database is up to date on a regular basis
- Lead the communication with the clients, and discuss their resource requirements and business needs.
- Provide administrative support and ensure the smooth operation of the company.
- Provide support to staff and management, such as assisting with onboarding new employees, coordinating training sessions, and handling administrative tasks related to HR or finance.
- Initiate visa issuance process for new employees, and ensure all relevant documents are issued and submitted.
- Coordinate visa arrangements for employees and ensure completion within the required timeframe.
- Communicate with visa agencies in multiple countries and ensure new employees are following the relevant visa-issuance procedures.
- Handle incoming employees’ administration requests including but not limited to (exit re-entry visas, HR letters, loans, bank accounts, etc.) and undertake relevant activities on Saudi government portals.
- Arrange travel and hotel bookings for new and existing employees.
- Add, maintain and update accurate records of employees in relevant databases on a regular basis.
- Support with other administrative activities, such as organizing events, coordinating office maintenance, or assisting with special projects.
