1. Purchasing:
1.1. Sea/Air Order Tasks:

1.1.1. Responsible for planning full year schedule of ordering, for more than twenty suppliers. In more than ten countries such as UK, USA, Spain, Australia, Netherlands, South Africa, China and Dubai. For several categories such as fresh and chilled food, FMCG, frozen food, noon food, pet food and accessories.

1.1.2. Follow the plan to place sea orders on a monthly basis on a strict deadline for all the imported products and ensure availability across stores and warehouse. A safety stock for all items is maintained to ensure overtaking any sales opportunity. The monthly plan is divided into weekly orders based on the supplier's lead time, seasonal ordering and previous year's lead time.

1.1.3. Consolidate air orders for fresh and chilled food products. Ensure the store's availability for all the products, double check for errors and send them to suppliers as one.

1.1.4. Liaise with regular customers such as restaurants and food production units to ensure adding the quantities they require to the orders, also use supplier promotional prices to add products that can be promoted and reduce the cost of the products.

1.1.5. Communicate with the suppliers to ensure that the order Proforma is confirmed and the order is processed. Ensure that all the information such as expiry dates and ingredients are as per our standard and the rule and regulations of Bahrain.

1.1.6. Negotiate the best price possible for air and sea freight shipments and follow up with the suppliers to ensure that the estimated time of arrival (ETA) is achieved. In addition, manage getting all the original documents whether from the bank or through the supplier directly before 10 days from the shipment arrival.

1.1.7. Carry all the system updates in terms of prices, packaging, barcodes, ingredients, pictures and discontinued items.

1.2. Custom Clearance Tasks:

1.2.1. Ensure that all the documents are submitted to the clearance agencies before 10 days from the container arrival and apply for licenses through the custom system (OFOQ) to save cost.

1.2.2. Follow up with the customs clearance to ensure a smooth transition in less than three days from container arrival date and avoid any issues until the container arrives in the warehouse.

1.2.3. In case of any issue with the customs we work in dealing with it directly to save time and ensure communication is clear between all parties.

1.3. Warehouse reception related tasks:

1.3.1. Ensure all the data are prepared in the system such as the purchase orders (PO) for the warehouse team to receive the containers. Follow up directly with them to confirm the receiving place such as the main warehouse, stores warehouse or other external parties.

1.3.2. Assist warehouse in system updates in terms of new barcodes, prices and new items received, ensure all the prices are updated and products are ready to be sold to customers. In addition to checking issues such as non scanning barcodes and margins.

1.3.3. Receive all the costing by custom clearance and suppliers to reconcile physical receptions with the invoice charges, communicate any claims with the suppliers and process their payment to central finance. Ensure finance processes the payment and the amounts reach the supplier accounts, apply credit notes and try to get advantage of early payment where applicable.

1.4. Seasonal orders tasks:

1.4.1. Place seasonal orders based on sales history, tackle lost sales opportunities and write off quantities. Ensure that seasonal products come from across more than one country in the world.

1.4.2. Ensure the reception date is done for all the products based on operation and marketing plan.

1.4.3. Track the sales during the season to tackle slow moving products and find ways to sell them and ensure the products are available during the entire season to avoid losing sales.
