• Coordinating and assisting in the development of the project manpower plan
• Coordinating with Department / Line Managers to formulate short, medium, and long term manpower plans to fulfill manpower requirements
• Responsible for processing manpower requisitions for engineering, administrative, management, and skilled workers positions as required by the project management team
• Periodically monitor and report on manpower activities and review actual manpower movements against planned to ensure that plans are adhered to, and variations are identified, and the necessary action is taken
• Collaborating with the Recruitment Officer to ensure recruitment plans are harmonized with manpower plans and that appropriate internal candidates are considered in preference to external recruitment and that opportunities for transfer of staff between sites / functions are fully considered and realized
• Responsible for maintaining and handling the files, all information and records pertaining to employee’s visa, work permit process, personal files, requirements and other related documentation
• Close liaison with Company’s Regional Admin Department in regards to labor, visa & work permit issuance and cancellations and other governmental related issues
• Be permanently updated in all immigration, visa process, penalty and similar related issues
• Ensuring the day-to-day accurate Maintenance of Employees Personal Files (hard copy) and HRIS (Human Resources Information System) online system by engaging in the following activities:
a) Liaising with Archirodon’s Regional Office during mobilization and transfers of employees to ensure that hard copy of personal files is received
b) Creating new employees’ profile by inserting data in predefined fields
c) Creating activity sheets to implement changes on salary, position, and grade
d) Scanning and uploading employees’ personal documents such as CVs, Degrees, Evaluation Forms, Offers, etc.
e) Monitoring the expiration of documents related to governmental authorities such as visas, passports, residence permits, work permits and driving licenses
f) Generating standard reports on Manpower, Turnover and Current estimate in liaison with Administration and Personnel Officers of our Regional Administration Department and at project sites
g) Generating customized reports as required by Management on an ad hoc basis
• Implementing departmental policies, systems, and procedure so that all relevant procedural / legislative requirements are fulfilled while delivering a quality, cost-effective service
• Updating job applicants of their employment application status and assist in review of applications to determine if the qualification requirements are met or if disqualifying factors are present
• Preparing join duty slips for newly hired employees and employees who were permanently transferred from other sites.
• Designing and/or organizing orientation classes and diversity training sessions for new employees
• Creating and updating consolidated Termination/Resignation report
• Creating, updating, archiving, and organizing personnel files
