Manage and conduct recruitment and hiring activities, including job descriptions, candidate selection and ensure transparency in the process and ensure the recruitment files are completed and updated with every stage of recruitment. Manage the performance review and the appraisal process for all local staff.
Plan development process for the team members and providing advice and recommendation on trainings Organizing. Lead &coordinate matters related to the Country Director, operations and administration of the office to ensure an effective and efficient work environment. Ensure proper filing of all departmental document. Maintain local information technology (IT) support ensuring all infrastructure needs of the office are met, including internet functioning, properly functioning IT equipment, routine maintenance, and security over IT (anti‐virus software and regular backups). Support in planning and logistics for workshops, offsite meetings and stakeholder events, interfacing with vendors, printers, consultants, and others as necessary, in addition to coordinate travel itineraries, aircraft ticketing, hotel reservations and other travel logistics for the Director, staff visitors & consultants. Administrate the Requests for Proposals (RFPs), getting offers, sending, receiving and checking RFP emails, and organizing for meetings and vendors interviews, also the expense claims and invoices. Perform translation jobs as needed, proofreading and format proofing. Maintain updated staff directory and contact databases, coordinating with the communications department and other staff as necessary, and office calendars. Managed and coordinated all logistical support with transportation & accommodation for local and international staff. Arrange the team building activities and retreats, and support the team in modeling behaviors that support our growth. Finance & Admin department support: Manage fiduciary matters relating to 500+ consultants in the field, ensuring timely payments and follow up with all employees, preparing cheques and supporting documents, tax income and social security monthly letters,
Support in monthly payments & the payroll process o Petty cash management.
Manage separation procedures, ensuring documents and processes are conducted in compliance with local law and the organization practice. Ensures timely and accurate submission of timesheets and PTO tracking sheet. Maintains insurance policies, and manage the insurance company correspondences. Oversight of organization drivers, and coordination with all staff for field visits
prepare correspondence, reports, and materials for publications and presentations.
Setup accommodation and entertainment arrangements for company visitors. Arrange travel and accommodation as necessary. Coordinate meetings, events and workshops.
