•Managing the CEO’s calendar
•Managing the administrative team.
•Supervising the administrative duties of the regulatory sector.
•Responsible for the CEO’s travel arrangements and bookings.
•Reviewing documents & contracts to be signed by the CEO.
•Setting infrastructure & platform of the back office job
•Head of departments meetings preparation (Agenda, minutes of meetings, etc.)
•Acting as the point of contact for DHCA with all the government entities.
•Acting as the point of contact for the Regulatory sector when dealing the centralized departments (HR, Finance, Procurement, Legal, Marketing & Communication)
•Preparation of events hosted by the regulatory sector (MOUs ceremonies, annual gatherings, VVIP visits, etc.)
• Managing the administrative duties for the Production Department
• Managing the Production Senior Managers travel calendars.
• Liaising with HR for the recruitment process of the Production department new employees.
• Coordinate with the other departments for the Production department employees’ mobilization, visas and any other related matter.
• Setting the documentation & filing for the Production department.
• Monitoring the Production department contracts expenditures.
• Preparing the payment forecast & payment requests
• Coordinate meetings and special events arrangements.
• Arrange flights & hotel bookings for the senior managers & department employees.
• Translation of Arabic & English documents.
• Organize and supervise all of the administrative activities
• Direct supervision for a team of 3 persons
• Setting infrastructure & platform of the back office job.
• Organizing the recruitment of new staff; implementing interviews & short listing.
• Dealing with complex queries and complaints on the telephone, by email and in person.
• Devising and conducting induction programs for new joiners
• Arranging travel & negotiating GCC hotels for corporate rates.
• Monitoring & updating the trainers travel calendars.
• Reviewing Training Materials & Presentations
• Marketing for the Public Programs
• Help the overseas trainees to book their accommodation.
• Preparing training proposals for in-house programs.
•Recruiting Staff, this includes the entire process
•Preparing advertisement
•Short listing CVs, Interviewing & Selecting candidates
•Induction Programs for the new joiners.
•Developing with line managers for HR planning strategies which consider immediate and long term staff requirements in terms of numbers & skill levels
•Analyzing training needs in conjunction with departmental managers.
