- Acting head of sub grants department
- Conduct the process of the global pre-award assessment, evaluate
documents received and coordinate with Program Coordinators in
drafting and
- documenting risk determination forms and pre partnership forms
- Preparation and review of sub grant agreements and related documents in collaboration with other departments
-Plan, convene and coordinate regular meetings
- Reviewing and documenting partners’ narrative reports and following-up
with Programs on any actions to be taken.
- Create capacity building plan for the partners and review capacity reports
and outcomes
- Monitor the implementation of the capacity building plan and
achievement score
- Create the monitoring plan for the partners
- Consult Program Coordinators as needed for enhanced monitoring and
evaluation exercises according to IMC best practices and compliance
requirements for partners.
- Ensure that the monitoring plan includes measures to lessen financial and
compliance risks.
- Maintain sub-grant tracking in accordance with the IMC Sub Grant
Manual.
Ensure timely financial and progress reporting is completed and
submitted by sub-grantees, reviewed and approved on timely manner
and file the reports in sub-grant management file.
•-Ensure close communication with sub-grantees implementing projects.
- Track any potential problems and lessons learned during the
- implementation of projects by the sub-grantees and make
recommendations with the team. This includes supporting sub-grant
-close-outs ensuring that all requirements of the sub grant agreement have been met and that sub grant funds have been properly settled.
- Maintain a sub-grants filing system for all IMC partners.
- Organize and contribute to sub grants kick-off and review meetings
- Travel to country and partner offices when required
-Coordinate regional inputs linked to modifications and re-negotiations of agreements
-Create Sub agreements, sub agreement modifications and negotiation
MEMOs as required
-Review and update budget and budget notes related to partners
-Draft and review Memorandum of Understanding (MOUs), terminate
when needed
-Building on and managing relationships with current and potential partners
-Coordinate between the program team and partners
reviews donor compliance, regularly verifies progress made towards compliance recommendations and agreed actions plans.
-Assist in the development and drafting of high quality concept notes, proposals and supporting documents,
-Support program compliance and internal control procedures according to internal and donor regulations and raise compliance issues proactively with the Program Coordinators;
-Liaise with in-country, regional and headquarters on sub grant management activities, including ad hoc requests for information and updates
-Support in partners financial reporting, specifically for narrative explanations
-Support in the review and finalization of all required supporting documents ensuring they are in in order and reviewed by respective Program Coordinators
