• Keep accurate records, review information, consolidate reports & report to top management for decision making.
• Track movement of key decision makers among the portfolio of accounts especially key clients.
• Control customer credit (outstanding) as per norm for specific customers only.
• Communicate with Line Manager any variances, or improvements to be made to current department practices.
• Assist Manager in controlling customer turnover, timely reordering and escalate issues.
• Develop relationships both internal & external to achieve objectives within timescales.
• Establish a good working relationship with ordering contacts including sending them updates on new products/initiatives, value added services, collecting market intelligence/feedback etc.
• Communicate relevant information to Internal/external parties whilst presenting the Company in a professional manner.
• Procuring materials from local/international vendors, issuance of purchase orders, negotiating payment terms and invoicing by coordinating with the Accounts Department.
• Reviewing inquiries received from our customer and forwarding them to appropriate vendors.
• Communicating with vendors for pricing information and comparing different offers received to choose the best price and delivery schedule.
• Ensuring our quote/proposal meets customer’s requirements and deadlines.
• Following up with customers for the feedbacks on our services.
• Once contracts/purchase orders are received from our customers, ensuring that there is no conflict between what we offered and what they ordered.
• Procuring materials from local/international vendors, issuance of purchase orders and negotiating payment terms.
• Ensuring materials are delivered from vendor’s store to our warehouse.
• Coordinating with transportation/logistics companies for delivering the materials to customer’s desired location.
• Ensuring customers receive materials and send us back signed delivery note.
• Preparing invoice after receiving delivery note signed by our customer.
• Screening potential vendors in order to ensure we stay competitive.
• Maintain open orders.
