Ensuring meetings are effectively organized.
•Maintaining effective records and administration.
•Compose letters, memos and emails
•Respond to queries in person, via telephone or email
•Prepare and disseminate correspondence, memos and forms
•File and update contact information of employees, customers, suppliers and external partners
•Support and facilitate the completion of regular reports
•Develop and maintain a filing system
•Check frequently the levels of office supplies and place appropriate orders
•Document expenses and hand in reports
Daily gather and print of Station Operations Report from fleet watch to ensure all flights are there and with their correct registration and filled the actual departure time and arrival using the ROC application.
•Receiving telex from different fleet regarding the most updated flights changes such as flights cancellation, change of aircraft, change of timings and flights schedule and updates the system based on the messages we receive from the telex.
•Updating the following Deck Crew data such as: Passport visa (Shengen, US, UK) and added newly joined crew in the database, English proficiency level, route check and proficiency check (in the absence of staff assigned to do it)
•Keeps and logs documents of Cabin Crew we receive from Training Dept. and updates the system with the validity of their refresher course such as CRM, DGC, PRA, AV, FA, CB, 300, 310, 320, 340, 744, 777 and VIP’s
•Monitors Fleet watch and updates daily flight movements system if there is any delayed departures.
•Added airport codes, ICAO, IATA code, country code, time zone, longitude and latitude in the database for special military flights.
•After uploading the winter and summer schedule, we are task to shifts the flights to their corresponding aircraft registration.
•Assisting user inquiries regarding Crews documents and information.
