• Provides secretarial and administrative work for the head of a department or Office, or for other Executive Staff members.
• Performs data entry, receives and screens office calls and correspondence, responds to routine telephone inquiries; forwards call to appropriate
party.
• Prepare correspondence, types of agendas, compiles agenda materials and oversees the copying and distribution of the agendas. Record and
drafts of the minutes of the meeting.
• Prepare and issue HR and bank related letters with the approval from the head of department e.g offer letter, NOC, salary certificate, employment
certificate, warning letters, salary transfer letters, promotion letter, termination letter, etc.
• Prepare and issue letters for supermarkets e.g badge letters, in-store detaling letters, promotion displays, listings, gondola and shelf rentals, etc.
• Coordinate and assist with the recruitment and selection process.
• Relieve administrators, or others assigned, of maintaining statistical information, assisting with the preparation of contracts, ordinances and other
legal documents, reviewing applications and requests for action, and assisting in various other details.
• Maintain the employee file, organizational chart, policies and procedures updated and answers inquires over the telephone, communicating
professionally and courteously.
• Updates both manual and electronic (HRMS) personnel records when an employees details change and set-up and maintains employees
personnel files.
• Responsible in processing new insurance cards, travel insurance and prepare and follow-up medical claim of employees from insurance company.
• Preparing monthly report for Payroll includes attendance report, sick leave report, new hired employees, employees deductions, employees
annual leave and air ticket allowances.
• May be called upon to assist in processing salary of the employees.
• Review invoices and/or receipts, verify accuracy, code and forward to the appropriate department.
• Develop, organize and maintain master event calendar(s), standing meeting schedules for the managers.
• Make travel and accommodation reservations for managers and guests and prepare expense accounts and allocations as requested.
• Assist with PRO in preparation of all documents in processing work permits for newly hired employees until the time new residence visa is issued.
• Monitor and process residence visa and labour card renewals of the employees.
• Monitor and assist in processing service maintenance contracts, tenancy contracts, trade licenses and other government related documents of the
company.
• Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies of the department; placing and expediting
orders for supplies.
• Evaluate problems and procedures and recommend solutions and/or alternative methods to the appropriate responsible authority.
• Perform and coordinate with other departments for any work related.
