• Works autonomously in coordinating, managing and prioritizing the day-to-day administrative activities for the General Manager.
• Gains a general working knowledge of all departments within the organization in order to handle inquiries or redirect them to the appropriate department.
• Manages busy and complex calendars, anticipating the need for and scheduling appointments.
• Monitoring all incoming and outgoing calls & Taking Messages.
• Handle all reception related activity independently.
• Provide general administrative support including but not limited to: managing phone calls, Prepare official correspondence, meetings, communications, events and reports.
• Updates office databases, marketing manuals and records to ensure completeness and accuracy.
• Organize and maintain files and records related to sales and marketing department.
I prepare and manage correspondence, reports and documents.
I prepare Purchase Order; Job Order; Delivery Receipt.
I answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
I greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
I locate and attach appropriate files to incoming correspondence requiring replies.
I mail newsletters, promotional material, and other information.
I make copies of correspondence and other printed material.
I open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.
I schedule and confirm appointments for clients, customers, or supervisors.
I set up and maintain paper and electronic filing systems for records, correspondence, and other material.
I conduct searches to find needed information, using such sources as the Internet.
I operate electronic mail systems and coordinate the flow of information both internally and with other organizations.
I order and dispense supplies.
