• Taking dictation from the doctor about patient's history, clinical findings, diagnosis, treatment plan, and other related information for a particular visit in the clinic and transcribing them into an accurate electronic medical reports and correspondence.
• Prepare and send insurance approvals for all surgical procedures and radiology or laboratory investigations ordered.
• Managing the doctor’s daily correspondence such as emails, confidential letters from members of the Medical Staff and administration.
• Recording operative notes of all surgery cases in a highly accurate manner.
• Keeping an organized file of pre operative and post operative pictures of all Rhinoplasty cases and other aesthetic procedures.
• Coordinating with Medical representatives regarding doctor's meetings and conferences here and outside UAE.
• Prepare administrative duties as needed by the members of the department as well as organizing departmental meetings.
• Creating medical reports of patients.
• Arrange hospital admissions for patients.
• Schedule and confirm diagnostic appointments for surgeries and all other investigations.
• Transmit correspondence and medical records through email or fax.
• Answers telephone calls, providing general information, and routing other calls to appropriate party.
• Performs various clerical functions such as ordering of supplies and taking inventory of it.
• Preparing the agenda of the meeting and make arrangements to all the committee members.
• Taking down notes during the meeting and transcribing them into administrative record.
• Maintain the general filing system and file all correspondence.
• Compile and transcribe minutes of meeting and distribute it to the members.
• Distributing and collecting questionnaires responding to assessment of the members on unethical or unprofessional conduct of members of the medical staff.
• Receiving all complaints for the committee and correspond memo of receipt.
• Disseminating approved circulars to all members of medical staff.
• Keeping highly organized confidential files of all medico legal cases and unethical complaints submitted to the committee.
• Receive and transfer important messages from the Chairman to the committee members or vice versa.
