Job Description (Import, Export, Inventory and Document Controller)

• Receiving import scan documents from supplier or per division for monitoring and delivery address.
• Coordinate all activities related to the Document Control procedure incoming and outgoing
• Input document data into the system, ensuring that the information is accurate and up to date.
• Make sure that controlled copies of documents are filed/logs; incoming and outgoing
• Monitoring stocks availability; incoming and outgoing.
• Sending Stock Report to all Divisions
• Receiving Stocks request/SO/PO per division
• Preparing transfer/export/import documents and stocks for the Delivery
• Liaise with courier for export and drivers for pick up and deliveries in a timely and accurate
• Monitoring Driver performance and turn around.
• Preparing Documents for Submission to Custom

Job Description
•Handle the a to z of logistics from the time the customer places an order, picked up from the supplier to when it will be delivered to the customer
•DATA ENTRY: Accurate and Efficient Data Entry into the system. This must be done quickly and effectively.
•Recording, updating and Filing of reports as and when required.
•CUSTOMER SERVICE: Be the point of contact for consumers and suppliers on the website answering queries through email, online chat, phone and other.
•Liaise with Aramex, Skynet, DHL and drivers and all transport services arranging pickups and deliveries on time.
•Collect consumer orders daily, collate them and organize driver pick up. Follow up with quality checks on all orders and then dispatch to the consumers in a timely and accurate fashion.
•Ensure all orders are received into our premises and dispatched on time and consumers receive on time.
•Follow up with consumers on all related calls, queries and concerns.
•Report all orders through standard daily and weekly reports identifying number of orders in, number of orders received, returns, out of stocks etc.
•Liaise with customs, shipment providers for regional and international deliveries as and when required.
•Must demonstrate, initiative, proactive behavior, speed and accuracy with all work.
•Promptness to work and Team playing is a must.

•Coordination and arrangement of all purchased order documents from suppliers if within UAE, coordination with Iran office for all purchased order documents if outside the UAE, and arrangement and follow up with the forwarders, shipping lines and airlines from the time of the shipment and final delivery to the destination.Monitoring timely departure from place of discharge to the arrival place of destination, proper monitoring of documents needed to clear the shipments.
•Preparing of Bill of Entry, Internal Transfer, Bill of Exit declarations, and other documents needed in importing and exporting shipments thru sea, air and land.
•Checking proper supplier’s packing list, invoice, bill of lading/airway bill, certificate of origin, etc. for the Bill of Entry, collection of DO from forwarders. And preparing export documents like invoice, packing list and delivery advice for the Bill of Exit.
•Proper supervising of the loading and unloading of all shipments from/to the vessel, preparing gate pass, arranging transportation from warehouse to port or vice versa.
•Preparing all expenses related to shipments, providing relevant and reliable information to the accounts department for all shipment expenses.
•Monitoring the estimated duty deposit for all shipments for export and updating/ reporting it to the accounts department.
•Filing and claiming of duty deposits from Dubai Customs, monitoring the time frame of crediting the duty deposit amount to our bank account.
•Monitoring and proper handling of all RMA shipments, providing sufficient report to Iran office for RMA shipment status/updates.
•Preparing marine insurance report for all shipments as per needed.
•Handling and solving delivery problems, shipment delays and other customs related problems.
•Monitoring the maintenance of warehouse, the safety and security of stock storage, and all warehouse supplies which will be needed.

Logistics and Document Controller
• Responsible for sending Purchase Orders to all shippers thru email as per the Operation/ General Manager Order list.
• Arranging shipment booking for the shipper thru shipping line websites.

• Negotiating best Freight rates per POL to POD to all shiping line such as; (MAERSKLINE, SAFMARINE, MSC, APL, NORASIA, EMIRATES, OOCL, HAPAG LLOYD, CMA CGM, MISC, MOL, HYUNDAI, WAN HAI, HANJIN and other forwarding agents.)

• Preparing and checking Freight Invoice and Packing list for customs and clearing purposes (for shipment documentation).
• Ensure all customs documents for clearing is ready and submitted to the P.R.O. 1 week before arrival time such as; Invoice, Packing list, Certificate of Origin, Phytosanitary Certificate and Bill of Lading.
• Preparing Packing List/Costing Report per items and container to the General Manager for the selling of goods.
• Negotiating to all shipping line to waive the demurrage charges for the late return of containers
• Assisting Logistic staff for the BOE/ MIRSAL requirements.
• Arranging diversion containers with dealing to the shipper and shipping line for the proceders and charges.
• Monitoring, Negotiating claims and discounts adjustments and settlements from the shipper and shipping line as per claims report.

Inventory Controller
• Conduct Stock Count Inventory
• Preparing Sales/ Transport Report
• Monitoring Stocks Inventory / Delivery Order (PEACHTREE SYSTEM)
• Logging Invoices to Delivery Statement Form.
Others
• Provide administrative/secretarial support for various departments/divisions such as answering telephones, assisting visitors and resolving a range of administrative problems and inquiries.
• Arranging visa for the guest and Gen. Manager; Flight/Hotel Bookings
