Project: Integrated Security System for All KOC Facilities in Kuwait

• Circulating documents via post and email.
• Maintains accurate records of incoming and outgoing documents. Effective filing of processed invoices & vouchers, monthly overtime & salary of staff, fuel consumption, company assets list, letters and other documents systematically, and keep all assigned files up-to-date.
• Responsible for preparing and processing of vouchers for vendors & suppliers invoices, vouchers for staff reimbursements, fuel consumption, salary and overtime. Maintains confidentiality.
• Handling incoming/outgoing calls, correspondence and filing .
• Entrusted to make Local Purchase Order (LPO) after receiving the approved requisition (i.e. air tickets, airport meet and assist with or without visa, hotel accommodation, golf and restaurant bookings, machines, equipment, office supplies, office consumable goods and safety gears).
• Responsible for monitoring Head office as well as Site offices stationary level & stocks.
• Perform administrative functions such as scheduling appointments, arrange job interview and assist in recruitment/hiring of new staff.
• Assist in submitting letters with attachment to KOC, Subcontractors and Vendors issued by Contracts Department.
• Manage Project Assets (i.e. purchasing and repairing company assets)
• Provides bank transfer and payment information to vendors and suppliers
• Prepare salary certificate, pay slip and termination letter.
• Maintains good rapport and professional relations at all times with colleagues, superiors and management.
• Performs other related duties as required and assigned by Admin. Manager and Finance Manager.
