Procurement Secretary - (April 2016 to April 2020)
Duties & Responsibilities:
Assist the Senior Procurement Engineer in preparation of Request for Quote (RFQ)/ ITT for selected/ approved bidders
Monitor proper tracking of Comparison Sheet for signature of various signatories.
Assigned in sending Vendors Registration to potential Subcontractors / Suppliers.
Responsible for Vendors Registration Database.
Coordinate with subcontractors/ suppliers representatives to collect packages.
Establish a collaborative relationship with the nominated subcontractors/ Supplier to ensure conformity with the required specs and contract terms.
Liaise with the Senior Proc. Engineer to assist in any procurement issues when required
Preparation, Request for Approvals and Distribution of Letter of Intent, Supply/ Service Contracts and other agreements as assigned by Procurement / Contracts Manager
Preparation, Request for Approvals and Distribution of Subcontract Agreements - JD Edwards (ERP) program
Preparation of Change/ Variation Orders to Issued Contracts as per site request, Request for Approvals and Distribution
In-charge in processing Payment Certificates/Invoices using JD Edwards (ERP) Program
Preparation and distribution of minutes of Internal weekly / bi-monthly Procurement
Meetings preparation and participate in Tender Opening of the required packages.
Receiving Subcontractors invoices and submittals to Cost Control, and any other task assigned by Procurement Manager
Business Development Secretary - (March 2014 to present)
Duties & Responsibilities:
Maintain updated Company Pre-Qualification file.
Support Business Development Manager in applying for certification in various local Government Entities (Central Tenders Committee, Kahramaa, etc.)
In-charged in filling up and filing on time for Expression of Interest as required.
Completing related Pre-Qualification Questionnaire as directed, including but not limited initial studying of the PQ files and coordinating with respective Department / Person in-charge.
If required, represent Company in Governmental Projects PQ, EOI submission.
Management of web/telephone and email based enquiries, notifying Business Development Manager, in order to successfully meet new Projects.
Daily checking of Newspaper and resource database for identifying any prospective projects.
Provides secretarial support to Business Development Manager including, but not limited to answering phones, taking and distributing minutes of meeting.
In-charge in Business Development Manager meeting and travel schedule.
Updating and compiling various relevant reports for the Department.
Prepare and compose routine correspondence and reports using computer.
Maintain documents and computer based information.
Set-up and maintain filling system and procedure.
Performing general office clerk administration.
Tendering Department Secretary - (September 2013 to March 2014)
Duties & Responsibilities:
Provides secretarial support to Tendering Manager and Senior Tendering Engineers including, but not limited to answering phones, taking and distributing minutes of meeting.
Prepare and compose routine correspondence and reports using computer.
Monitor and register all important documents and files.
Set-up and maintain filling system and procedure.
Performing general office clerk administration.
Provides secretarial support to Project Director and Senior Project Managers including, but not limited to answering phones, taking and distributing minutes of meeting.
Responsible for drafting correspondence and ensures on time submission to concerned parties, i.e. Main Contractor, Consultant, Employer/Owner and other Subcontractors.
Updating and compiling various relevant reports for the Project.
In charge in Project Director’s daily diary.
Disseminate information from top management to concerned parties with use of emails and telephone calls.
Plan and schedule meetings of Project Director with other subcontractors.
Maintain paper and electronic files for project.
