o Providing administrative and clerical support (mailing, scanning, copying and filing).
o Answering emails and telephone inquiries.
o Maintain a proper and user friendly filing system
o Requesting and handling cash for expenses.
o Coordinating with recruitment agencies and agents from other countries.
o Posting vacancies in different job seeker platforms.
o Responsible for the safekeeping of all submitted documents.
o Check correctness and completeness of documents.
o Prepare and forward weekly / monthly reports (crew salary, contract, Certificate of trainings, crew lists by vessel).
o Assist in travel arrangement of the crewing staff, including Air/Land Tickets, Visa application, and hotel accommodation.
o Booking/rebooking of flight.
o Responsible for the day to day arrangements of crew changes and flow of information to vessels, seafarers and other involved parties.
o Assist on all crew issues.
o Handled the front desk - greeting and welcoming all visitors, including walk-in clients and customers appropriately.
o Perform other duties as instructed by the manager.
o Making follow up calls.
o Preparing and sending documents like letters, quotations, invoices and memos.
o Answering inquiries via email, in person or on telephone.
o Open and close accounts of the clients.
o Perform account maintenance for members who want to change their products.
o Sell or redeem saving bonds / investments and other financial instruments of the company.
o Assisting and evaluating client’s need and demands.
o Coordinate and manage with day to day operations of the department functions and duties.
o Type documents such as emails, correspondence and drafts.
o Handling documents and checks completeness of data and requirements in accordance with checklists provided by the management.
o Prepare a daily, weekly and monthly report for management monitoring.
o Handling customer complaints.
o Process deposits, withdrawals and other banking transactions for
high volume of customers.
o Sorting cash drawer by proving cash transactions, counting and
packaging currency and coins.
o File documents and other transaction slip.
o Balance the vault and cash drawers at the end of the day.
o Prepare daily transaction report for monitoring.
